Job description

Position Summary

Dhaka Technologies Limited Company (DTLC) is hiring Filing Clerks on behalf of our client, a public housing agency serving the Roanoke, Virginia area. This position applies basic administrative and office management practices and procedures to organize, maintain, and retrieve agency records, with a strong emphasis on accuracy and attention to detail in filing, plus general office duties and customer service. You will be employed and paid by DTLC and assigned on-site with our client.

Essential Duties and Responsibilities

• Apply knowledge of basic administrative and office management practices and procedures.

• Sort, classify, index, and file documents and records accurately in alphabetical, numerical, and chronological systems.

• Retrieve records and files on request; track file movement and ensure records are returned and re-filed correctly.

• Create, label, and maintain new file folders; purge, archive, and prepare records for storage or destruction in accordance with agency retention procedures.

• Review documents for completeness and accuracy prior to filing; identify and correct misfiled items.

• Scan, photocopy, and prepare documents for electronic recordkeeping.

• Perform data entry and general office duties as assigned.

• Provide customer service to internal staff and, as needed, to residents and visitors.

• Handle confidential resident and agency information appropriately; do not disseminate or disclose information to the general public, news media, or any person or organization without prior express written approval.

• Comply with all applicable client policies and procedures, including reading and acknowledging policies provided by the assigned department.

• Submit a completed time card at the end of each work week documenting days and hours worked.

• Remain available for the entire length of the assignment.


RequirementsRequired Qualifications (Minimum)

• High School Diploma or General Educational Development (GED) certificate.

• Knowledge of basic administrative and office management practices and procedures.

• Demonstrated customer service skills.

Strong attention to detail in filing and records handling.

• Ability to perform general office duties.

• Minimum 18 years of age.

• Available to work 8:30 a.m. to 5:00 p.m., five (5) days per week.

• Ability to perform the essential functions of the job with or without reasonable accommodation.

• Legally authorized to work in the United States; employment eligibility verified through E-Verify.

Preferred Qualifications

• Prior clerical, filing, or records management experience in a government, public housing authority, nonprofit, medical, or legal office setting.

• Experience with document scanning and electronic document management systems.

• Working knowledge of Microsoft Word, Microsoft Excel, and Microsoft Outlook.

• Valid Virginia Motor Vehicle Operator's license or valid state-issued identification.

Driving Requirements

A valid Virginia driver's license is not a minimum requirement for this position. The client reserves the right to waive driving requirements for temporary placements who will not be considered for regular employment; if waived, the placement will not be permitted to drive any client-owned vehicle. Candidates who may be considered for regular employment with the client are subject to the DMV record standards applied to driving positions.

Pre-Assignment Screening Requirements

All candidates must successfully complete the following before the assignment begins. DTLC arranges and administers this screening at no cost to the candidate.

5-Panel Drug Screening. Candidates who refuse to submit to drug screening, or who fail a drug screen (excluding certified medical situations), cannot be referred for assignment.

DMV report review.

National Sex Offender Registry check. Individuals registered as sex offenders cannot be referred for assignment.

Criminal background check, including a Commonwealth of Virginia Court Online Case Information System county background check and a national background check, covering felony and misdemeanor convictions, guilty pleas, and no-contest pleas. A criminal record does not automatically disqualify a candidate; each record is reviewed on a case-by-case basis to determine whether the criminal activity is substantially related to the functions of the assignment.

• Written verification that all pre-assignment requirements have been met is submitted to the client's hiring agent prior to assignment.

Physical Requirements and Work Environment

Standard essential-function language — validate against your own job analysis before posting.

• Frequent standing, walking, bending, stooping, reaching overhead, and repetitive hand motion associated with filing.

• Ability to lift and carry file boxes and records, typically up to 25 pounds.
