Job Summary
The One Stop Assistant provides high levels of customer service while guiding current and prospective students through the Admissions, Enrollment and/or Financial Aid process, as well as providing clerical and administrative assistance to the Student Outreach Office.
Required Knowledge, Skills, and Abilities
  • Possess strong organizational skills
  • Ability to pay close attention to detail.
  • Maintain and demonstrate a clear understanding of the admission process.
  • Demonstrate clear and effective written and verbal communication skills
  • Respects the importance of strong confidentiality
  • Provide strong and clear communication, customer service, and inter-personal skills

  • Able to cooperatively work with diverse groups of students and staff
  • Understanding of basic administrative processes and procedures

  • Assist with the coordination of the daily activities of the Department.
  • Maintain the Student Services, Student Outreach and/or Financial Aid website and portal content as well as monitoring the department email and voicemail.
  • Maintain, process, and retain all documents applicable to One-Stop services.
  • Support the Student Services, Student Outreach and/or Financial Aid Office by assisting at the One-Stop with the answering of phones, entering a quick application, entering prospect information, scheduling academic advising/counseling appointments, placement testing appointments, email mailbox maintenance, loan counseling appointments and/or related FA processes as needed.
  • Collaborate and work in partnership with the Division of Student Services and Academic Affairs to provide excellent customer service to students related to the functions of the One Stop.
  • Enter ACT and placement testing results in to the SIS and/or FA file review and related processing as needed.
  • Schedule outside College visits, campus tours, and/or Financial Aid workshops on the Kishwaukee campus.
  • Process paperwork and documents submitted by students into the SIS, CRM and Imaging system.
  • Provide additional departmental support as assigned.
  • Help and participate in activities related to Student Services such as Registration Events, Graduation, Financial Aid workshops, One Stop events, and others as assigned.
  • Actively participate on departmental and college committees.
  • Participate in professional development opportunities as necessary.
