Description

We are seeking a dependable and organized Program Manager (PM) to support daily operations at our center. This role helps staff, assists families, manages scheduling, and ensures the office runs smoothly. Ideal for someone who enjoys multitasking, communication, and problem-solving.

Responsibilities

  • Maintain office supplies and keep the office organized
  • Answer phones, greet visitors, and support front-office tasks
  • Prepare and send emails, letters, forms, and other documents
  • Manage meeting schedules, appointments, and conference room calendars
  • Maintain accurate digital and physical filing systems
  • Support new employee onboarding and prepare orientation materials
  • Collaborate with other departments and external partners
  • Manage client referrals, intakes, discharges, and registration packets
  • Obtain insurance authorizations and assist with claim denials
  • Ensure all client paperwork is complete and accurate
  • Manage EMR systems and staff devices (CentralReach, email accounts, iPads/laptops)
  • Approve client billing, staff timesheets, and PTO for payroll processing
  • Assist with workers' compensation reporting and documentation
  • Support hiring needs and assist with interviews
  • Communicate with families regarding scheduling and paperwork
  • Assist with staff/client scheduling and assignments
  • Complete monthly chart audits and quarterly fire drill audits
  • Work closely with the Vice President of Operations on budgets and billable hours
  • Other duties as assigned

Experience:
