Position Summary
The Operations Support Generalist provides essentialversatile support to oilfield operations by handling town errands,administrative tasks, and front-end billing processes. This role focuses onrunning supplies and materials into town, coordinating with vendors, managingwork orders, and preparing accurate client invoices. The position ensuressmooth daily operations, timely revenue capture, and efficient administrativesupport in a lean oil & gas environment.
Key Responsibilities
Town Runs & Operational Support Duties:
• Perform regular town runs for picking upsupplies, chemicals, tools, spare parts, fuel, and equipment needed for fieldoperations.
• Coordinate with local vendors, suppliers, andservice providers in town (e.g., hardware stores, oilfield suppliers, weldingshops, or delivery services) to arrange pickups or deliveries.
• Deliver field documents, mail, or small equipmentbetween the field office and town locations.
• Assist with basic inventory management: track stocklevels, receive deliveries in town, and transport items back to well sites orfacilities as needed.
• Provide light operational support, such as droppingoff or collecting field tickets, maintenance logs, or safety equipment duringtown runs.
• Handle miscellaneous errands, shipping runs, ortransporting personnel/tools between locations.
Admin & Front-End Invoicing / Work Order Duties:
• Process and manage work orders for fieldservices, maintenance, repairs, equipment usage, or material requisitions.
• Collect field data and tickets from crews oroperators, then enter and verify details for accuracy.
• Prepare and generate client invoices usingbilling software (IMS, SAP ect....) for completed jobs, materials supplied,labor, and services rendered.
• Handle front-end billing tasks: data entry,attaching backup files, printing/sending invoices to clients via email or mail,and tracking invoice status.
• Follow up on open work orders or billingdiscrepancies with field teams or vendors; resolve issues to prevent delays ininvoicing.
• Support general administrative duties, includingfiling, scanning documents, updating spreadsheets, answering phones, andmaintaining organized records of errands, purchases, and invoices.
• Assist with month-end close by reconciling town-runreceipts, work orders, and invoices; flag any unbilled items or outstandingissues.
Required Qualifications & Skills
• 2-5+ years of experience in oilfield operations,administrative support, or a similar generalist role with exposure to errands,supply runs, and billing.
• Familiarity with oil & gas terminology, basicfield operations, and common vendors/suppliers in the area.
• Strong organizational and multitasking skills;ability to manage errands efficiently while handling detailed admin andinvoicing work.
• Proficiency in Microsoft Office (especially Excel),email, and billing/invoicing software; experience with field ticketing orinventory systems is a plus.
• Excellent attention to detail for accurate dataentry, invoice preparation, and receipt reconciliation.
• Valid driver's license with a clean driving recordand reliable vehicle (or company vehicle provided); comfort with frequenttown/field travel.
• Good communication skills for dealing with vendors,field crews, and clients.
• High school diploma or equivalent required;additional training in safety, bookkeeping, or oilfield admin preferred.
Typical Work Environment & Schedule
Primarily office-based with frequent town runs (daily or asneeded) and occasional light field visits. Standard daytime hours with someflexibility for urgent errands or month-end deadlines. This role is well-suitedfor smaller teams where one person keeps operations running smoothly throughreliable support and timely billing.
