Position Overview
The Office Services Associate plays a key role in supporting the daily operations of the office by providing a wide range of services, including copy and print production, mailroom operations, hospitality support, and general office services. Reporting to the Lead Office Services Associate or Client Relations Manager, this position is responsible for helping maintain a professional, organized, and efficient workplace environment while delivering exceptional customer service.

  • Schedule: Monday-Friday, 9:00 AM - 6:00 PM
  • Pay Rate: $24.00 per hour Benefits: Full benefits eligibility after 60 days, 7 days of sick time, 10 days of accrued vacation, Tuition reimbursement eligibility after 1 year

Copy Operator Responsibilities
  • Operate high-volume copy and print equipment, including loading paper, adjusting print settings, and processing print jobs.
  • Receive and manage copy and print requests while communicating effectively with customers regarding specifications and available options.
  • Perform quality control checks to ensure accuracy, clarity, formatting, and overall presentation of printed materials.
  • Troubleshoot basic equipment issues, including paper jams and routine maintenance needs, and escalate complex repairs as necessary.
  • Prepare documents for production by organizing files, verifying document orientation, and ensuring proper setup.
  • Complete finishing services such as collating, stapling, binding, cutting, and assembling materials.
  • Monitor and maintain paper inventory and print-related supplies.
  • Track print jobs, maintain production records, and generate usage reports as needed.

Required Skills and Qualifications
  • Familiarity with copy and print equipment functions and features.
  • Strong attention to detail with the ability to identify and correct document errors.
  • Basic computer proficiency and understanding of document formats.
  • Strong problem-solving skills and the ability to troubleshoot equipment and workflow issues.

Mailroom Responsibilities
  • Sort and distribute incoming mail to the appropriate departments.
  • Prepare outgoing mail, including packaging, sorting, and postage application.
  • Track shipments, deliveries, and courier activity.
  • Maintain inventory levels of mailing and shipping supplies.
  • Report address discrepancies and delivery issues.
  • Assist customers with mail services and required shipping documentation.
  • Operate postage equipment and mailing systems.
  • Forward misdirected mail and deliveries when necessary.
  • Insert documents and promotional materials into envelopes for distribution.
  • Weigh envelopes and apply appropriate postage.
  • Coordinate with courier services for outbound shipments and deliveries.

Hospitality Responsibilities
  • Review monthly and daily event and meeting schedules.
  • Support and staff daily catering and meeting setup requests.
  • Ensure cafรฉ areas on each floor remain stocked with disposable items, dairy products, and condiments.
  • Verify that cafรฉ equipment is fully operational.
  • Maintain beverage machines to ensure they are stocked and functioning properly.
  • Monitor office and cubicle areas to ensure cleanliness, including cleaning Expo boards.
  • Ensure restrooms are stocked with feminine hygiene products and mouthwash/cups.
  • Maintain clean and organized conference rooms and meeting spaces.
