We're seeking a proactive, highly organized Executive Administrative Assistant / Executive Operations Associate to support a senior advisor and ensure smooth day-to-day operations. You'll manage calendars, coordinate meetings, prepare client materials, and play a key role in shaping the client experience.
What You'll Do
Executive Support & Calendar Management
  • Act as gatekeeper for senior advisor's communications and schedule
  • Manage a dynamic calendar, resolve conflicts, and prepare meeting materials
  • Coordinate Zoom and in-person meetings, take minutes, and track follow-ups
  • Handle incoming communications with discretion and timeliness

Operations & Client Service
  • Open and maintain client accounts
  • Track business submissions and planning progress
  • Maintain organized records and follow through on action items
  • Prepare client correspondence, reports, and presentations

Team Coordination & Office Management
  • Serve as the central hub for office operations
  • Collaborate with team members to complete shared tasks
  • Proactively resolve issues with clients and partners
  • Enhance internal systems, workflows, and databases

What You Bring
  • Minimum of 2+ years of professional administrative experience in financial services (required).
  • Proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook, Teams)
  • CRM experience (required)
  • Strong technology skills and understanding of digital workflows
  • Exceptional communication skills (phone, written, interpersonal)
  • Bachelor's degree or equivalent experience (preferred)
