Job Summary:
We are looking for an Office manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Office Manager duties and responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our employees. Previous experience as a Front office manager or Office administrator would be an advantage. A successful Office manager should have experience with a variety of office software (Office 365, Foundation Accounting Software, Outlook, Excel spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.
Responsibilities:
  • Manage incoming calls, service requests, and customer inquiries, ensuring timely prioritization and resolution
  • Coordinate and dispatch field staff, managing daily schedules, work orders, and project timelines to ensure on-time completion
  • Serve as the primary point of contact for customers, addressing concerns and maintaining strong communication throughout projects
  • Support end-to-end project coordination, including scheduling, tracking progress, and maintaining accurate records and documentation
  • Maintain and organize project files, trackers, and office documentation to ensure accessibility and accuracy
  • Oversee daily office operations, including supplies, equipment, maintenance, and vendor coordination
  • Ensure office functionality by coordinating repairs, maintaining organization, and managing facility-related services
  • Handle administrative duties and provide general support to employees and visitors
  • Manage municipal registrations and obtain necessary permits for commercial and residential projects
  • Ensure compliance with company policies, safety regulations, and operational standards
  • Working hand in hand with the service department for daily tasks
  • Maintaining office supply stock

Requirements
Skills:
  • Proven experience as an Office manager, Front office manager or Administrative assistant
  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
