Construction Office Manager / Office Administrator Location: Ashburn, VA Job Type: Full-Time About Us API Concrete Core Drilling is a family-owned commercial concrete cutting and core drilling company serving Northern Virginia, Washington, D.C., and Maryland. We take pride in providing dependable service, maintaining strong relationships with our customers, and supporting our field crews with an organized, efficient office. We are looking for a reliable, detail-oriented Office Manager/Office Administrator to join our team. This position is essential to keeping our daily operations running smoothly and will work closely with company leadership, field crews, and customers. Responsibilities • Answer phones and provide professional customer service. • Schedule jobs and coordinate with field crews. • Manage work orders and job information using Jobber (training provided if needed). • Prepare invoices and assist with accounts receivable.

• Process and organize paperwork for completed jobs. • Assist with payroll using ADP. • Maintain organized digital and paper filing systems. • Communicate with general contractors, vendors, and customers. • Assist with customer billing portals such as Textura and other contractor systems (experience is a plus but not required). • Support daily office operations and help improve administrative processes. Qualifications • Previous office administration or office management experience. • Construction industry experience strongly preferred. • Experience with QuickBooks, Jobber, ADP, and additional software is a plus. • Excellent organizational and time management skills. • Strong written and verbal communication skills. • Proficiency with Microsoft Office (Word, Excel, Outlook). • Office Manager: 2 years (Required) • QuickBooks: 1 year (Required) • Ability to prioritize multiple tasks and work independently. • Professional, dependable, and detail-oriented.
