Opportunity Overview

Granite Partners is seeking an Office Manager to oversee a series of processes, vendors, and technology services to create operational efficiency for the Granite Partners team and other stakeholders in the Granite community. The role incorporates a wide variety of duties including general office management, technology support, team services, event planning, and reception.


The Position

As the Office Manager at Granite Partners, you will manage day-to-day office processes, support technology services, support the Granite Partners team and related services, coordinate logistics and prepare for meetings and large events, and support sponsored events.


Office Coordination

Manage day-to-day office processes for an efficient and smooth-running office, including:

  • Providing reception and welcoming guests in person or on the telephone, answering or directing inquires, and sorting and delivering incoming and outgoing mail and packages.
  • Overseeing and serving as host and point-person for Granite Innovations events, including planning and coordinating meetings, catering, and technology.
  • Maintaining office equipment and adequate supply levels, offering suggestions for automation, process improvement, and new equipment.
  • Support team wellbeing by maintaining adequate inventory of healthy snacks and drinks and coordinating meal orders.
  • Managing large printing and mailing projects.
  • Supporting invoice processing in partnership with the finance team.


Technology Support

Support technology services at Granite Innovations and for team members, including:

  • Coordinating technology services and facilitating solutions to technology issues (technology help desk), working closely with the third-party technology services firm and collaborating with the Technology Director and Granite Innovations Administrator on larger support issues.
  • Managing technology at Granite Innovations including desktop monitors, TV displays, audio and visual conferencing equipment, and more, including working with service providers to resolve issues.
  • Leading vendor relationships for internet services, phone services, and the like.
  • Providing support and training for team members with technologies at Granite Innovations.


Team Support and Services

  • Leading a variety of tasks related to the upkeep and readiness of the Granite Innovations building, including organizing, arranging meeting room furniture, setting and cleaning up catering orders, decorating, and occasional cleaning.
  • Supporting members of the Granite Executive Team with meeting scheduling, calendar coordination, project work, personal tasks, and other activities as required.
  • Coordinating off-site events including the Granite Partners Minnesota Twins suite, St. Johnโ€™s Football suite, and Granite Days.
  • Guiding, training, and partnering with the Events and Business Operations Intern(s) to support daily operations and professional development, providing feedback and growth opportunities.
  • Assisting one or more affinity groups with scheduling, project management, and other administration.


Event Planning

Coordinate logistics and preparation for meetings and various large events, often working with other team members and/or third parties.


Active Central MN Champion

Work with a broad group of internal and external stakeholders to promote and coordinate Active Central Minnesota events, such as the Earth Day Run and Graniteman Triathlon Series.


Qualifications & Qualities

Education

Associateโ€™s or bachelorโ€™s degree is required.


Experience

Three or more years of related work experience is required.


Certifications

Specialized training and certifications in a broad set of skills are valued. Examples may include advanced Microsoft Office courses, Certified Administrative Professional, Project Management Professional, Franklin Covey training, and beyond.


Technology

Strong passion for and broad experience with software applications and information systems. Applications include Microsoft Office, Outlook, Monday.com, Teams, Zoom, Box, OnBoard, NetSuite, Domo, Qualtrics, Dynamo, Expensify, and more. Direct experience with some or many of these applications is valued. Experience with both Apple and Windows environments preferred.

Locations and Schedules

Residency in the St. Cloud, Minnesota region is required for proximity to Granite Partnersโ€™ St. Cloud headquarters and large stakeholder base. The Office Manager will generally oversee the opening and closing of the office, collaborating with the Granite Innovations Administrator to enable flexibility. A typical daily schedule will generally include regular office hours, starting between 8:00-8:30 AM and concluding between 4:30-5:00 PM. Earlier mornings and later evening hours are required ~1x/week to accommodate guests at Granite Innovations and will be communicated in advance for planning. Occasional evening and weekend work is needed, including brief calls or messaging.


Compensation & Benefits

We offer a competitive base salary in the $50,000 to $70,000 range, based on experience and qualifications, along with an annual bonus and the opportunity to participate in a unique and powerful long-term incentive program after two years of service.
