An Office Assistant usually handles a broader range of administrative duties and may have more structured responsibilities across various industries.

What are some common challenges faced by office helpers, and how can they be managed effectively?

Office Helpers often juggle multiple responsibilities such as organizing supplies, managing mail, and assisting different departments, which can lead to a fast-paced and sometimes unpredictable workday. Prioritizing tasks, maintaining clear communication with supervisors, and being proactive about asking for clarification can help manage these challenges. Building good relationships with team members also ensures smoother collaboration and support when workloads increase.

What is an office helper?

Office helpers are support staff responsible for assisting with various administrative and clerical tasks in an office environment. Their duties often include filing documents, distributing mail, maintaining office supplies, running errands, and helping with basic data entry or photocopying. By handling these routine tasks, office helpers enable other employees to focus on more specialized job responsibilities. They play a key role in ensuring the smooth and efficient operation of the workplace.

Minneapolis, MN โ€ข On-site

Job description

THE ROLE
This role exists to make our physical home run as smoothly as our product does. As Blank Metal keeps growing, nobody is looking after the office yet, and it shows. The team needs snacks, the printer needs paper, and vendors need someone to answer the phone. Right now that also means a real project: we're leaving Northeast Minneapolis behind for a new office in the North Loop, and we need someone to help coordinate the move: working with vendors on timelines and logistics, and getting the new space ready from day one.
This is a brand-new role, so you'll have a say in how it's built. Beyond the move, you'll keep the office running day-to-day and take on light AP/AR, partnering directly with our CFO. Done well, this role helps keep a fast-growing, AI-native team functioning smoothly, and makes Blank Metal a place people want to stick around.
WHAT YOU GET TO DO
Running the Room
  • Handle day-to-day office operations at our North Loop HQ, including supplies, snacks, vendor relationships, and the dozens of small things that keep a growing team functional
  • Help coordinate the move from our current Northeast Minneapolis space to the new North Loop office: work with vendors on timelines and logistics, and help get the new space ready to work in from day one
  • Be one of the first to hear when something in the office breaks, runs out, or needs fixing, and help get it handled quickly

Building the Vibe
  • Help bring small rituals and everyday moments to life that make people want to be in the office
  • Help organize client and team events, and celebrations that build connection across a hybrid team, and notice when the room needs energy versus quiet

Keeping the Books Honest
  • Handle light AP/AR: process invoices, track payments, and keep vendor accounts current
  • Partner with the CFO to keep financial housekeeping clean and current, month after month
  • Flag discrepancies early, since you're a second set of eyes on the numbers rather than just someone processing them

WHAT WILL HELP YOU SUCCEED
  • Startup experience, ideally somewhere still building its own systems, since you've helped build process from scratch rather than just following one
  • Comfort with loose direction: you ask sharp clarifying questions, then get moving, and you know when to escalate versus when to just handle it yourself
  • Some exposure to bookkeeping or light AP/AR (QuickBooks or similar). This isn't a finance hire, but you're not intimidated by an invoice
  • Familiarity with Traction/EOS is a plus, since we run on it and it'll help you plug in fast
  • You don't take it personally when priorities shift mid-week. Chaos doesn't rattle you, it's just Tuesday
  • Enjoys taking care of people and spaces, and is comfortable working in and around a fast-moving, AI-native business

WHY YOU'LL LOVE IT HERE
  • Build AI that ships: every project ends in a live deployment, not a slide deck
  • Craft meets velocity: we obsess over quality while delivering at startup speed
  • Outcome-driven model: our work aligns with client success, not billable hours
  • AI-native culture: you'll work with peers who deeply understand modern AI's potential and limits
  • Real collaboration: open conversations, shared ownership, and space to bring your voice
