This Opportunity
WSP is seeking an Office Engineer to join our Construction Management team. This position is for full-time in-person, on-site at our Long Bridge Replacement Project spanning Alexandria, VA to D.C. Locations may include either.
Your Impact
  • Project leadership support, to Program Manager, Senior Office Manager, Area Construction Managers and Engineers
  • Manage the project office schedule; synchronize and deconflict project calendars across construction packages and ensure appropriate representation for project staff
  • Ensure conference room and facilities are scheduled and fully functional
  • Ensure meetings and materials are prepared and presented with enough lead time to accommodate modifications and changes
  • Ensure key client and project staff attendees are scheduled and available
  • Assist the project team with schedule coordination and outlook invitations
  • Assist client and Joint Venture project management with the preparation of correspondence and internal and external presentations and products
  • On-boarding of personnel
  • Monitor and track all required training for team members
  • Ensure proper on/off-boarding support for all team members (Emails, file access, project orientation, etc.)
  • Assist with tracking any training and support requirement for project personnel
  • Facility Management
  • Maintain building and parking passes
  • Maintain seating and office plan for office space designation
  • Interface with client IT staff and others as necessary
  • Maintain schedule, appearance and functionality of conference rooms
  • Liaison to the building management company as appropriate
  • Provide important building information to the project team.
  • Order office supplies and maintain inventory
  • Equipment and PPE
  • Maintain equipment-IT or support equipment for field
  • Ensure proper vehicle and support equipment for project leadership
  • Coordinate for PPE issue-standardize for all team members
  • Guest and visitor support
  • Ensure guests are greeted and supported
  • Schedule and coordinate meeting and briefing materials for client as necessary
  • Coordinate visitors to the office and the construction site (in coordination with the CM team)
  • Ensure all logistics are in-place to support office visitors and site visitors and tours
  • Provide support to senior project staff as required
  • Back-up support for Project Control functions:
    • Production manager (submittals, RFIs, project correspondence, document control)
    • Contracts Manager (subcontracts drafting and issue, contract compliance)

Minimum Requirements:
  • Bachelor's degree in Business Management, Construction Management, Project Management or an Engineering field
  • 3+ years of experience as a Project Manager, Office Engineer, Office Manager, or Office Administrator.
  • Proven track record or experience as an Office Manager/ Office Engineer on large construction projects
  • Proficient in the use of business software and applications such as MS Office, Outlook, Excel, PowerPoint
  • Demonstrated strong interpersonal skills and organizational/ planning skills in a fast-paced environment
  • Excellent time management skills, have the ability to multi-task and prioritize work
