Facility Coordinator, Mid-Level

The Facility Coordinator, Mid-Level is responsible for overseeing day-to-day facility operations, coordinating maintenance activities, and ensuring the safety and security of company personnel and assets. This role serves as the primary point of contact for building management, service vendors, and visitors, while maintaining a secure and professional office environment.

Responsibilities

Coordinate facility maintenance and service requests with the building's property management company, ensuring timely resolution of issues covered under the lease agreement.

Identify, schedule, and manage local vendors for repairs and services not covered by the rental agreement, including obtaining quotes and overseeing work completion.

Maintain a visible presence in the building lobby office to manage incoming deliveries, ensure proper receipt, documentation, and distribution of packages and materials.

Administer visitor management procedures, including check-in/check-out processes, visitor badging, and adherence to company security protocols.

Support physical security operations by managing access control systems, including coordination with door badge entry providers and maintaining accurate access records.

Serve as a liaison with the alarm monitoring company, ensuring proper system functionality, responding to alerts, and coordinating issue resolution.

Monitor and enforce access restrictions to ensure only authorized personnel enter company-designated work areas.

Conduct periodic reviews of facility and security processes to identify opportunities for improvement and ensure compliance with company policies.

Maintain documentation related to maintenance activities, vendor services, security access, and incident reporting.

Lead workplace safety programs and ensure compliance with local health and safety regulations.

Manage office furniture inventory, assist with desk layouts, and coordinate internal office moves.

Perform other duties as assigned in support of facility operations and organizational objectives.

Minimum Qualifications & Education Requirements and Desired Skillsets

3+ years of experience in facilities coordination, office administration, or physical security support.

Experience working with property management companies and third-party vendors.

Familiarity with access control systems, alarm systems, and visitor management processes.

Strong organizational and communication skills with the ability to manage multiple priorities.

Ability to interact professionally with employees, vendors, and visitors.

Proficiency with Microsoft Office tools (Outlook, Word, Excel); experience with facility or ticketing systems is a plus.

U.S. Citizenship with Active Secret Security clearance and ability to maintain the designated security clearance level is required.

Physical Description

Employees in these positions will function in a general office/cubicle setting environment, and laboratory/testing setting using standard office equipment and various electronic testing equipment, including a computer, telephone, printers, video equipment, computer software and testing equipment. Will interact in a general office setting environment with various personnel; participate in meetings and contribute to team success; deliver timely results and produce reports; receive and communicate information; may include telework. May function in a specialized laboratory/testing environment using electronic testing equipment, computer software and complex systems. May move and test equipment of various weights. Laboratory environment may require use of protective equipment (PPE) including but not limited to safety glasses and protective hearing and footwear. May be expected to work varying shifts and hours to ensure successful operation of activities in the organization due to business demands; travel occasionally for assigned work.
