JOB SUMMARY:

The Residential Services Office Assistant provides administrative support to ensure the office's efficient operation. This role supports managers and employees through a variety of tasks related to organization and communication. The Office Assistant is responsible for confidential and time-sensitive material and is familiar with a variety of the field's concepts, practices, and procedures.

JOB DUTIES AND TASKS:

In order to provide the highest level of service to the members at Gozzer Ranch, the Residential Services Office Assistant will perform in the following areas:

Administrative Support

Answer and direct phone calls, take messages and handle correspondence.

Greet visitors and direct them to the appropriate person or department.

Maintain electronic and hard copy filing systems.

Retrieve documents from filing systems as needed.

Enter data into databases and ensure the accuracy of information.

Update and maintain office policies and procedures.

Communicate with clients, suppliers, and employees.

Handle requests for information and data.

Assist in the preparation of regularly scheduled reports.

Provide support to other departments as needed.

Assist in developing departmental expense reports.

Complete member billing by the end of each work day

Provide support throughout all services provided by the Residential Services department

Update the Property Management team with any homeowner requests or vendor access

Organization

Monitor and maintain office supplies inventory.

Order office supplies and research new deals and suppliers.

Ensure the office is clean, organized, and well-maintained.

Maintain package and mail room organization
