Job Description Summary
Provide general operational and administrative support for the Residence Life and First-Year Experience Office by assisting with the recruitment, scheduling, training, and supervision of Office Assistants. Serve as a resource for Office Assistant staff, facilitate communication and professional development initiatives, coordinate administrative projects, and support the efficient operation of Residence Life and Student Development services. Collaborate with departmental staff to manage daily operations, monitor project progress, maintain organized work environments, and ensure the successful completion of departmental initiatives.
Responsibilities
  • Assist with the hiring of Office Assistants.
  • Facilitate Office Assistant development by coordinating meetings, creating and distributing newsletters, and sending informational communications as needed.
  • Collect Office Assistant availability and class schedules and develop Office Assistant schedules for each academic term.
  • Meet regularly with the Administrative Assistant to discuss Office Assistant staff concerns, policy and procedure questions, project updates, and weekly assignments.
  • Monitor and maintain the organization and cleanliness of the Central and RSD areas, with a focus on Office Assistant workspaces.
  • Collaborate with the Administrative Assistant to manage and track the progress of large-scale projects, including:
    • Archiving student files at the end of each semester.
    • Supporting check-in day activities at the beginning of the fall semester.
    • Conducting file audits.
  • Perform other duties as assigned.

Required Qualifications
  • Minimum of one year of experience serving as an Office Assistant.
  • Strong knowledge of and familiarity with Residence Life policies, procedures, and office operations.
  • Demonstrated ability to work independently and take initiative in a leadership role.
  • Strong organizational and time-management skills.
  • Effective written and verbal communication skills.
  • Ability to maintain professionalism when interacting with students, staff, and campus partners.
