Job description

Position Summary

Odyssey is seeking a full-time, motivated, organized, and solutions-focused individual to serve as the Office Manager for our Lincoln, MA facility. This professional is critical in ensuring smooth daily operations, facilitating communication across teams, supporting leadership, and maintaining a productive, compliant, and welcoming work environment. The Office Manager will interface with personnel at all levels and help ensure the effective execution of programs within the Operations Group and the broader Odyssey organization.

This is a full-time, in-office role (Monday-Thursday), supporting a dynamic, highfunctioning team.

Responsibilities

Duties include, but not limited to:ย 

Operational & Administrative Support

  • Proactively engage with Odyssey leadership, Operations Group staff, and corporate departments to ensure efficient execution of a portfolio of programs as required/assigned.
  • Manage daily operations of the Lincoln office, ensuring effective use of space and resources.
  • Independently document, implement, and sustain repeatable office and operations processes.
  • Track, organize, and manage actions to successful closure on behalf of Odyssey leadership.
  • Manage suspense assignments for Operations Directors and staff.

Facilities & Vendor Management

  • Oversee physical office spaces (Suites 104 and 310), including keys, mail, furniture, and general upkeep.
  • Serve as the primary point of contact for building management and external vendors.
  • Coordinate maintenance, service requests, workspace layout planning, and office expansion needs.
  • Monitor and reconcile overhead expenses and manage office supply ordering.
  • Serve as first-line responder for facility issues, emergencies, or building notifications.

Communication & Coordination

  • Manage and facilitate a repeatable cadence of communications, including meetings and updates across key teams.
  • Support leadership with scheduling, calendar coordination, and preparation of agendas and materials.
  • Consolidate and draft employee and program communications (e.g., newsletters, recognition messages, internal posts). Including management of Group level distribution lists
  • Help maintain internal communication boards, SharePoint pages, and onsite informational materials.
  • Coordinate with Operations Group managers and administrative counterparts at other Odyssey locations to ensure consistent processes and share best practices.

Conference Room, IT, and Visitor Support

  • Manage conference room readiness, equipment setup, and coordination with IT for technical issues.
  • Manage bookings for conference rooms and arrange meeting logistics.
  • Greet and support conference attendees, ensuring smooth meeting flow.
  • Provide entry access and greet visitors to the office.
  • Support onboarding/offboarding processes, including workstation setup coordination with IT.

Event Management & Employee Experience

  • Coordinate activities for hiring events, industry days, AllHands meetings, and leadership presentations.
  • Plan and execute office events, including logistics, catering, decor, and participant engagement.
  • Support employee engagement initiatives such as recognition efforts, milestone acknowledgments, and internal culture building activities.
  • Assist with community outreach opportunities and officewide participation.

Data, Reporting & Business Process Support

  • Assist with business management tasks such as data entry, report analysis, data collection, and research.
  • Maintain tracking dashboards (e.g., training compliance, supplies, operational metrics).
  • Support leadership with operational reporting, suspense tracking, and recurring updates.

Security & Compliance Support

  • Coordinate with Security on facility-related compliance needs.
  • Manage visitor logs, escort procedures, and building-access processes.
  • Assist with administrative aspects of security documentation as required.
  • Back up Synchronized Pre-Deployment and Operational Tracker representative for Odyssey
Qualifications

Minimum Required Qualifications

  • Citizenship: Must be a U.S. Citizen.
  • Clearance: None requiredย 
  • Education: High school diploma or GED.
  • Strong customer service orientation and communication skills.
  • Strong organizational skills with an ability to multitask across a wide variety of responsibilities.
  • Experience managing several projects simultaneously through completion.
  • Ability to learn new concepts, systems, and processes quickly.
  • 3-5 years of experience managing a small- to medium-sized office with diverse departmental needs.
  • Positive attitude and ability to work with all manner of management levels in a fast pased operational environment
  • Proficiency in MS Office Products and the ability to manage/operate conference room hardware and software products
  • Ability to freely move within the suite(s) upstairs and downstairs as well as the mailroom
  • Ability to move small office furniture (chairs etc) to accomodate functions/meetings
  • Ability to lift office supplies and sundries up to 20 lbs as they are delivered and put them away as needed

Preferred Qualifications

  • Clearance: Ability to obtain and maintain a Secret security clearance.
  • Experience: Prior experience in corporate, government, or government contracting environments.
  • Education: Associate degree or related higher education.
  • Experience with SharePoint.
  • Ability to learn business software such as ICIMS, Costpoint, Emburse, and other operations-support systems.

Additional Information

  • Location: Lincoln, MA
  • Schedule: In-office Monday-Thursday during standard business hours 0800-1600/0900-1700 etc... occasional evening work may be required for functions
  • Environment: Onsite work supporting a collaborative, fast-paced operational and technical setting.
