Job description

Position Overview

We are seeking a detail-oriented Payroll Specialist to support end-to-end payroll operations in a fast-paced environment. This role is responsible for processing multi-state payroll accurately and on time while ensuring compliance with federal, state, and local regulations. The ideal candidate has strong analytical skills, experience handling high-volume payroll, and the ability to work cross-functionally with HR, Finance, and employees at all levels of the organization.

Key Responsibilities

  • Process biweekly and/or semi-monthly payroll for hourly and salaried employees across multiple states.
  • Review timecards, earnings, deductions, bonuses, commissions, and benefit withholdings for accuracy.
  • Maintain payroll records and ensure compliance with wage and hour laws, tax regulations, and company policies.
  • Manage payroll-related changes including new hires, terminations, garnishments, direct deposits, tax updates, and benefit deductions.
  • Reconcile payroll reports, general ledger entries, payroll taxes, and benefit invoices.
  • Coordinate payroll audits and support internal and external audit requests.
  • Respond to employee payroll inquiries and resolve discrepancies in a timely and professional manner.
  • Partner with HR and Finance to ensure accurate employee data and reporting.
  • Assist with year-end processing including W-2 preparation and payroll reconciliations.
  • Maintain confidentiality while handling sensitive employee and compensation information.

Qualifications

  • 3+ years of payroll processing experience in a high-volume environment.
  • Experience processing multi-state payroll preferred.
  • Strong knowledge of payroll laws, tax regulations, wage and hour compliance, and payroll best practices.
  • Experience with payroll systems such as ADP, Workday, UKG, Paylocity, Ceridian, or similar platforms.
  • Proficiency in Microsoft Excel including formulas, VLOOKUPs, and reconciliations.
  • Strong attention to detail, organizational skills, and ability to meet strict deadlines.
  • Excellent communication and customer service skills.
  • CPP certification is a plus but not required.

Preferred Background

  • Experience supporting 200+ employees.
  • Exposure to union payroll, prevailing wage, or certified payroll is a plus depending on industry.
