As the only full-scope Oral & Maxillofacial Surgery practice in the region, we are committed to delivering the highest level of patient care while utilizing the most advanced technology and techniques available.

Position Summary: The Surgical Assistant plays a vital role in the practice's daily operations by facilitating patient care and supporting the surgical team to ensure a smooth workflow and effective communication. This position involves assisting in patient preparation, managing intraoperative needs, and contributing to a safe and efficient surgical environment. The Surgical Assistant collaborates with surgeons and clinical staff to implement and uphold protocols that align with the practice's goals. Additional responsibilities include maintaining sterile conditions, assisting with patient education, and fostering a positive experience for patients to enhance overall satisfaction and trust in the practice.

Requirements:

Scheduling & Coordination

  • Schedule, confirm, and manage patient appointments to ensure efficient provider schedules.
  • Coordinate follow-up appointments and rescheduling as needed.
  • Communicate clearly with patients about appointment requirements, preparation instructions, and timelines.

Patient Communication & Support

  • Serve as the first point of contact for patients, answering and directing high-volume calls in a professional manner.
  • Provide accurate information regarding office policies, treatment expectations, insurance coverage, and wait times.
  • Maintain a patient-focused approach, ensuring questions and concerns are addressed promptly.

Insurance & Financial Processes

  • Collect, review, and verify patient insurance information, including eligibility and plan benefits, before appointments.
  • Communicate potential out-of-pocket costs and obtain necessary authorizations when applicable.
  • Collaborate with billing or insurance coordinators to ensure claim accuracy.

Administrative Duties

  • Accurately perform data entry and maintain up-to-date patient records in the practice management system.
  • Ensure all necessary patient documentation is completed, scanned, and stored in compliance with HIPAA regulations.
  • Assist with general front office operations, including filing, faxing, and handling correspondence.

Collaboration & Workflow

  • Partner with clinical teams to coordinate patient flow and minimize wait times.
  • Assist team members during peak hours to ensure smooth operations.
  • Maintain a clean, organized, and welcoming front office environment.

Qualifications

Education & Experience

  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
  • Minimum of 1 year experience in a dental, oral surgery, or medical office preferred.
  • Familiarity with dental/medical terminology and insurance verification processes.

Technical Skills

  • Proficiency with practice management software (WinOMS, Dentrix, Eaglesoft, or similar).
  • Competent in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong data entry accuracy and attention to detail.

Soft Skills

  • Excellent communication and customer service skills.
  • Ability to multitask and prioritize in a high-paced environment.
