A Taste of What You'll Do

As a Legal Assistant at GALLO, you'll play a critical role in keeping the Legal Department operating smoothly and efficiently. Working under limited supervision, you'll take initiative to provide advanced administrative and general support to attorneys, paralegals, and senior leaders, helping ensure priorities move forward seamlessly. Your ability to anticipate needs, manage details, and maintain confidentiality will make you a trusted partner within the department.

In this role, you'll manage complex calendars, coordinate meetings and calls, and arrange travel and itineraries that keep leaders connected and prepared. You'll support the preparation, proofreading, and finalization of legal documents and correspondence, while also maintaining electronic and hardcopy filing systems that ensure information is accurate, organized, and accessible.

You'll also contribute to the rhythm of the department by handling mail distribution, coordinating department events, maintaining subscriptions, ordering supplies, and supporting expense processing and reporting. From creating presentations to assisting with research using public data resources, your work will span a variety of responsibilities that directly support legal operations and business outcomes.

This position is ideal for someone who demonstrates strong ownership, attention to detail, and professionalism, while embracing GALLO's intrapreneurial mindset-thinking proactively, communicating clearly, and supporting collaboration across all levels of the organization.

What You'll Need

  • High School diploma or State-issued equivalency certificate plus 3 years of administrative and/or legal support experience reflecting increasing level of responsibility.
  • Skilled in the use of MS Word, MS Excel, MS PowerPoint, and MS Outlook at a basic level.
  • Skilled in reading and interpreting documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Skilled in writing routine reports and correspondence.
  • Skilled in adding, subtracting, multiplying and dividing in all units of measure, using whole numbers, common fractions, and decimals.
  • Discretion required in dealing with confidential information.
  • Strong written, verbal, analytical, organizational and interpersonal skills including excellent telephone communication skills.
  • Required to travel to company offices, sites, and/or meeting locations for onboarding, training, meetings, and events for development, department needs, and business delivery up to 5% of the time, with or without reasonable accommodation. This may be in addition to travel requirements, if applicable, as listed in this job description.
  • Required to be 18 years or older. This may be in addition to other age requirements, if applicable, as listed in this job description.

How You'll Stand Out

  • High School diploma or State-issued equivalency certificate plus 5 years of administrative and/or legal support experience reflecting increasing levels of responsibility; OR Associate's degree plus 3 years of administrative and/or legal support experience reflecting increasing levels of responsibility.
  • Familiar with litigation pleadings (e.g., motions, briefs, discovery requests and responses, court orders, etc.).
  • Experience with organizing, prioritizing and meeting deadlines while working on numerous ongoing projects simultaneously.
