Job Title: Parent Ministry and Guest Relations Administrative Assistant

Department: Family Ministries

Job Summary

The Parent Ministry and Guest Relations Administrative Assistant plays a vital role in supporting both the Guest Relations and Family Ministries team at New Life North. This position ensures that guests, parents, and volunteers experience a warm, organized, and welcoming environment through excellence in administrative support and team collaboration.

Duties and Responsibilities

1. Parent Ministry & Event Coordination
  • Plan and execute all Parent Ministry gatherings, including Parent Orientation, Spiritual Parenting classes, and Child Dedications.
  • Oversee event logistics such as room setup/teardown, catering, supplies, and coordination with Creative and Operations teams for signage and materials.
  • Maintain organized systems for files, volunteer schedules, and ministry spaces (e.g., Parenting Room 246 and Family Connect area).
  • Support key Family Ministries events, including Family Nights, Kids Camp, and Desperation.
  • Champion a high level of hospitality and attention to detail, ensuring every parent experience reflects the heart and mission of New Life Church.
2. Administrative & Team Support
  • Provide administrative support to Guest Relations and Family Ministries through communication, scheduling, and project coordination.
  • Assist with monthly credit card reconciliation and expense tracking for Parent Ministry.
  • Manage CCB processes, including volunteer queues, scheduling and conducting interviews, and sending birthday cards for Parent Ministry and Guest Relations.
  • Support volunteer appreciation efforts and maintain updated ministry materials and drop cards.
  • Assist in managing and developing Family Ministries social media, including content curation and execution.
  • Participate in regular staff and departmental meetings to stay aligned with church-wide vision and goals.
  • Collaborate across teams to cultivate a Christ-centered culture marked by warmth, service, and excellence.
  • Carry out additional responsibilities as assigned by the Guest Relations and Parent Ministry Pastor.
3. Guest Relations & Sunday Experience
  • Support the Guest Relations Coordinator in preparing Sunday hospitality environments, including the lobby, cafe, info desk, signage, and Connect Central.
  • Maintain inventory and restock supplies for cafe, info desk, and lobby spaces as needed.
  • Coordinate Sunday morning donut pickup when required.
  • Assist with the info desk for First Wednesday services as needed.
  • Step into Guest Relations roles as needed to ensure seamless coverage.
  • Support New Life Next gatherings through setup, food coordination, guest communication, and follow-up tracking in CCB.

Education and Experience

Education: High School Diploma

Experience: Administrative Assistant and Event Coordination experience preferred

Working Conditions and Requirements of Office Environment

Physical Demands:

  • Regularly required to sit and occasionally required to stand and stoop, kneel, crouch, or crawl. Must be able to frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
  • Substantial movements (motions) of the wrists, hands, and/or fingers.
  • Close visual acuity to is necessary to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
