Job description

Summary: The primary function of the Project Assistant is to facilitate communication between Sales Account Manager, the Operations Project Manager(s), & other team members to ensure a smooth project function & completion of required project documents, milestones, tasks, and reports.


Tasks & Responsibilities

  1. Communicate professionally with internal staff for necessary team kick off meetings, data gatherings, and report status updates.
  2. Present a unified voice to the customer by being a point of contact when involved in multi-discipline projects.
  3. Coordinate regular reoccurring team meetings for projects with multiple disciplines involvement.
  4. Maintain and update job status, progress reports, & schedules as a job progresses.
  5. Provide support to the Operations Project Manager as needed and assist with reporting and billings being submitted in a timely fashion.
  6. Maintain a familiar knowledge of the submittal and close out phases of a project and follow up as needed to ensure proper completion.
  7. Create and maintain project schedules, schedule of values, & other pertinent information.
  8. Assign new projects to the appropriate PM & assist with the transfer of knowledge from Sales. Follow the project through completion.
  9. Create change orders as requested or needed from the PM in NetPlanner 360, send to the customer for approval & track completion.
  10. Proactively manages jobs with the Operations PM to mitigate any risks, issues, or errors that can arise.
  11. Demonstrates timely completion of tasks and reliability in achieving objectives.
  12. Facilitates coordination of efforts by team members.
  13. Provides adequate feedback of tasks and responsibilities for project completion & job requirements.
  14. Utilizes technology wisely to maintain organization, documentation, and process flow.
  15. Documents tasks and challenges for each project to provide a good overview and resource of lessons learned.
