Status: Full-time
Hours: 40/week, Monday - Friday, 9am-6pm
Location: Bloomington, IN
Reports to: HR Operations Manager with a dotted line report to (2) of Secretly's Partners.
Company Summary: SG Services, Inc. provides accounting services, legal services, IT support, tech support and human resource & office support to the Secretly affiliated companies. These companies include Secretly Group, Secretly Distribution, All Flowers Group, Merge Records and The Numero Group.
Position Summary:
This is an entry level position providing support as an administrative assistant and office manager to two of Secretly's managing partners in the Bloomington office, and is in person during our office hours from Monday - Friday from 9:00am through 6:00pm each day. This position offers a unique opportunity for a newcomer to the music industry to gain experience and an understanding of both the record label and distribution operations. This position requires strong computer skills, flexibility, excellent interpersonal skills and the ability to work with all levels of internal management and staff, as well as outside clients. The ideal candidate will undertake a wide variety of tasks and responsibilities including but not limited to those outlined below.
Responsibilities:
  • Manage (2) Partner's and other executive schedules, appointments, and travel arrangements
  • Collaborate with the HR Operations Manager on daily office operations and initiatives, focusing on enhancing the employee experience
  • Perform day-to-day project-oriented and administrative tasks for multiple departments
  • Monitor, screen, respond to, and distribute incoming communications, which include email communications, mail and packages.
  • Weekly meetings with HR Operations Manager to discuss ongoing projects and tasks
  • Liaise with internal staff at all levels
  • Arrange and coordinate meetings
  • Record, transcribe and distribute minutes of meetings
  • Greet scheduled and unscheduled visitors to the office
  • Plan and organize virtual and in-person events
  • Maintain an optimal workplace environment for employees including office maintenance, supply ordering, and coordinating repairs
  • Undertake special projects as needed
