Position Description:
The Executive Assistant (EA) is an operational partner within Ren's shared administrative support pool, providing elevated executive support to assigned senior leaders across the organization. This role exercises independent judgment on matters of significance, proactively manages executive priorities without specific instructions or prescribed procedures, and serves as a trusted decision-maker for operational and administrative matters on behalf of assigned executives.
As part of a shared EA model, this role requires the ability to independently assess competing priorities across multiple executives, make sound judgments about resource allocation and scheduling trade-offs, and take ownership of outcomes with minimal supervision. At least one EA in the pool is designated as the onsite presence at Ren's Indianapolis headquarters, holding delegated authority for day-to-day office operations in addition to executive support.
The ideal candidate brings a collaborative spirit, excellent communication skills, and advanced proficiency with AI and modern productivity tools. They use judgment to anticipate needs and resolve issues proactively, build trusted working relationships across the organization, and operate with the ownership mindset of a true operational partner to senior leadership.
Duties & Responsibilities:
  • Executive Calendar & Schedule Support: Manage calendars for assigned executives, making autonomous judgments about scheduling priorities, trade-offs, and time allocation. Resolve conflicts and competing demands without routine escalation, representing executives' interests in scheduling decisions. Proactively identify calendar inefficiencies and implement improvements.
  • Communication Support: Independently draft, finalize, and send correspondence on behalf of assigned executives, exercising judgment about tone, content, and appropriate response without requiring executive review for routine communications. Serve as a primary point of contact for internal and external stakeholders, making decisions about information sharing and escalation. Leverage AI-assisted drafting tools to maximize quality and efficiency.
  • Meeting Coordination: Own end-to-end meeting preparation and follow-through with delegated authority to determine agenda priorities, structure pre-read materials, and support decisions about logistics. Capture, synthesize, and distribute action items, exercising judgment about appropriate follow-up, escalation, and accountability tracking without specific instructions from executives.
  • Travel Arrangements: Manage complex, multi-leg domestic and international travel for assigned executives, exercising judgment on vendor selection, cost trade-offs, and contingency planning without requiring executive input on routine decisions. Anticipate travel needs, maintain preferred vendor relationships, and make real-time adjustments when disruptions occur. Ensure all arrangements align with company policy and executive preferences.
  • AI-Assisted Productivity: Serve as an advanced practitioner of AI productivity tools (e.g., Claude, Copilot, ChatGPT), independently evaluating and implementing workflows for drafting, research, summarization, and task automation.
  • Office Management (Designated Onsite EA): For the EA designated to be onsite at Ren's Indianapolis headquarters: hold delegated authority for day-to-day office operations, making decisions about vendor selection, supply procurement, facilities issues, and visitor management within prescribed procedures or defining if none exisit. Proactively identify and resolve operational gaps, negotiate with service vendors within established budget parameters, and escalate only those issues requiring executive-level authority.
  • Document & Information Management: Design, own, and maintain documentation systems and information architecture for assigned executives, exercising independent judgment about structure, access, and retention. Identify gaps in existing systems and implement improvements without requiring direction. Prepare and finalize high-stakes documents and presentations with minimal executive input on content and format decisions.
  • Expense Reporting: Independently manage the full expense cycle for assigned executives, including reviewing expenditures for policy compliance, making judgments about appropriate categorization, and resolving discrepancies without routine escalation. Monitor budget adherence and proactively flag anomalies or trends to the EBP.
  • Event Support: Lead end-to-end planning and execution for executive events, leadership offsites, and company-wide initiatives, exercising independent judgment on vendor selection, budget allocation, logistics, and contingency planning. Make real-time decisions during events and serve as the primary decision-maker for operational matters within delegated scope.
  • Cross-Team Collaboration: Work cooperatively with other EAs in the shared pool, coordinating coverage, sharing information, and aligning on priorities to deliver consistent, high-quality support across the organization.
  • Stakeholder Communication: Serve as an authorized representative of assigned executives with internal and external stakeholders, exercising independent judgment about information sharing, commitments, and escalation. Build and maintain trust-based relationships that enable the EA to act on behalf of executives on matters of significance. Exercise discretion in handling confidential business, personnel, and strategic information.
  • All other duties as assigned.
Education & Experience:
  • Associate's degree required; Bachelor's degree preferred
  • 2-4 years of executive support experience in a professional environment, with a demonstrated history of operating independently and making decisions on behalf of senior leaders without routine supervision.
  • Prior experience supporting multiple executives or working in a shared services model required.
  • Working familiarity with AI productivity tools (e.g., ChatGPT, Claude, Copilot, or equivalent) for drafting, summarizing, and research. Comfortable adopting new tools and incorporating them into daily workflows.
  • Strong written and verbal communication skills, with the ability to represent executives professionally in correspondence and interactions with internal and external stakeholders.
  • Highly organized with strong attention to detail and the demonstrated ability to independently prioritize and manage complex, competing workstreams across multiple executives.
  • Demonstrated ability to handle sensitive and confidential information with professionalism and integrity.
  • Comfortable navigating shifting priorities in a fast-paced, entrepreneurial environment. Willing to step into new assignments and flex across different executives' needs as part of the shared EA pool.
  • Proficient with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams) and video conferencing tools (Zoom, Teams). Familiarity with expense management or project management tools is a plus.
  • Onsite Role: For the onsite-designated EA: prior experience supporting office operations, managing supplies or vendors, or serving as an office point of contact is preferred.
