Department Overview

With oversight and direction from the OHSU Office of Research and Innovation and the Chief Research Officer (CRO), the Research Development & Engagement Coordinator is responsible for operational administration of research development and campus-wide engagement at OHSU. This position requires a thorough and detailed knowledge of grant funding opportunities and associated processes, project management experience, strong communication skills, and a high degree of initiative, independent judgment, problem solving, and collaborative skills.

Through collaboration with internal and external customers, including a high level of communication with OHSU faculty and the OHSU Foundation, the Research Development & Engagement Coordinator will provide excellent customer service, while continually assessing, supporting and planning for a wide range of programmatic functions including the limited submission funding opportunity process, administration of the Medical Research Foundation and other internal/foundation grant programs, preparation/maintenance of websites and databases, use of business communications functions, project development, and regular workflow analysis and improvement. In addition, the Research Development and Engagement Coordinator will assist with research event planning, assist with database inquiries related to the scientific mission, and help to facilitate research-related communications.

Function/Duties of Position

Research Development

• Manages the identification, processing, and dissemination of research and academic funding opportunities, including limited submissions, for OHSU.
• Communicates and collaborates with faculty and staff regarding available funding opportunities, eligibility, and the limited submission process.
• Manages web-based internal application system (Info and funding opportunities systems, and maintenance of web-based information; resolves technical issues and problems with software vendors.
• Prepares communication and provides training and technical assistance to users of applications, databases, and programs, as needed.  

Internal Funding Programs

• Manages the administration of internal funding opportunities, including but not limited to those related to Scientific Research Review Committee (SRC) and Medical Research Foundation (MRF), as well as OHSU Presidential Bridge Funding.
• Creates competitions through internal application system, assists with inquiries about competitions and provides assistance to users of internal application system.
• Posts funding opportunities in InfoReady (CAP), announces funding opportunities to the appropriate populations, maintains email inquiries and frequently asked questions (FAQ) page, updates MRF and Research Development web pages, manages proposal submissions, distributes proposals for review, and announces award decisions.
• Maintains Medical Research Foundation and Funding Alerts inboxes.
• Coordinates MRF/Bridge funding post-award activities. Post-award support includes disbursement requests, progress reports, no-cost extension management, and re-budget requests. 

Coordinates proposal review

• Coordinates assignment of reviewers for grant competitions, including limited submissions and MRF/OHSU Bridge-related opportunities, as well as Faculty Excellence and Innovation Awards.
• Provides administration for review committee meetings and activities.
• Notifies applicants and administrators of funding decisions. 

Admin Support & Committee Management

• Provides administrative support and organization to the Chair of Scientific Research Review Committee (SRC), Limited Submission Committee, and Medical Research Foundation (MRF) Committee.
• Provide administrative support to the Faculty Excellence and Innovation Program.
• Schedules and organizes SRC and MRF committee meetings.
• Responds to inquiries and provides requested information to OHSU participants and committee members.

Research dissemination

• Assist as needed with research event planning (e.g., Research Week, town halls, special lectures, scientific campus tours, lab visits, etc.).
• Assist with database inquiries related to the scientific mission (e.g., SciVal) to facilitate metric-related information gathering and dissemination.
• Interface with Strategic Communications to facilitate research-related communications.

Other duties as assigned.

Required Qualifications

• A bachelor's degree in Business Administration, Management, Public Administration, or a field directly related to the position.

• At least two  years supervisory or management experience.

• Minimum five years of experience with responsibility for program or project monitoring and coordination.  The experience must have included program evaluation responsibility. 

Skills and Abilities

• Experience interpreting and implementing policies.

• Extensive and sophisticated experience with Windows, Microsoft Applications (Outlook, Excel, Word, PowerPoint, etc.), and various web browsers.

• Experience with HTML style sheets, scripting, and web server structure. 

• Proven experience on web-based projects.

• Advanced proficiency with business, data management, and collaboration software, with the ability to learn and effectively utilize institutional systems, databases, electronic research administration platforms, and other technology tools required to support grant development and administration.

• Ability to organize, analyze, interpret, and present complex information and data accurately to support decision-making, reporting, compliance activities, and project coordination.

• Demonstrated ability to exercise sound judgment, think critically, identify complex problems, evaluate options, and recommend practical and effective solutions.

• Exceptional organizational and project management skills, including the ability to coordinate multiple concurrent projects, track deliverables, and maintain a high level of accuracy and attention to detail while meeting competing deadlines.

• Ability to successfully manage multiple grant development and submission activities simultaneously, including overlapping funding opportunities, compressed timelines, and coordination among investigators, administrators, and external stakeholders.

• Ability to manage confidential and sensitive information with professionalism, discretion, integrity, and sound judgment.

• Excellent written and verbal communication skills, including the ability to prepare, edit, and review professional correspondence, reports, proposals, presentations, and other materials with a high degree of accuracy.

Preferred Qualifications

• Expert level experience with SQL and databases, web software, and API.

• Experience with creating visually compelling reports.

• Working knowledge of research funding and proposal development.

• Working knowledge of funding trends, federal funding policies, and funding program administration.

Additional Details

Monday - Friday, 8:00am - 5:00pm.

Remote; may be required to work on campus for special projects or presentations.
