Position Overview
The Relocation Project Manager plans, coordinates, and executes workplace relocation projects and furniture reconfigurations of varying complexity, managing moves of up to 1,000 people and overseeing office conversions and space modifications. This role serves as the primary point of contact for move management and furniture project activities, ensuring seamless transitions that meet client expectations while adhering to budget, timeline, and quality standards.
Key Responsibilities
Project Planning & Execution
Develop comprehensive relocation project plans, schedules, and budgets in collaboration with facility, project, and construction managers. Establish project goals and objectives, adjusting as needed to achieve desired outcomes. Plan and successfully execute relocations for groups up to 1,000 people, managing most projects independently while supervising additional staff when required. Manage furniture reconfiguration projects including workstation modifications, office conversions, and space optimization initiatives. Incorporate industry best practices and ensure all activities comply with client and JLL policies and procedures.
Furniture Project Management
Oversee furniture reconfiguration projects from planning through installation, including workstation adjustments, panel reconfigurations, and component replacements. Manage office conversion projects such as private office to open workspace transitions, collaborative space buildouts, and density modifications. Coordinate furniture installations for new spaces and oversee decommissioning and redistribution of existing assets. Develop detailed furniture plans that optimize space utilization while meeting functional requirements and budget constraints. Track furniture inventory, manage asset tagging, and maintain accurate records of furniture locations and conditions throughout the project lifecycle.
Vendor & Contractor Management
Prepare RFPs and manage the procurement process for move labor, furniture installation contractors, and supporting services including technology, telephony, and furniture vendors. Evaluate proposals, recommend vendor selection, and oversee contractor performance to ensure compliance with established standards. Coordinate with furniture dealers, manufacturers, and installation teams to ensure timely delivery and proper installation. Manage pricing for furniture-related work including reconfigurations, conversions, new installations, and non-baseline requests.
Project Administration & Reporting
Establish and maintain organized project files, folders, and templates using standardized best practices. Develop client-specific reporting formats and maintain accurate records that protect confidentiality. Track project hours, forecast utilization, and ensure compliance with all key performance indicators and financial targets. Complete thorough project closeout documentation for both internal and client requirements, including furniture inventory reconciliation and as-built documentation.
Data Management & Systems
Perform data input into CAFM systems to maintain current occupancy and furniture inventory information, ensuring accuracy across all move management platforms. Process client move and furniture reconfiguration requests efficiently and maintain detailed tracking reports. Update project schedules in the client's preferred format and ensure all documentation supports due diligence and financial requirements. Maintain furniture asset databases with accurate location, condition, and specification details.
On-Site Move & Furniture Project Management
Provide on-site presence during relocations and furniture installations to answer questions and resolve issues in real time. Create and distribute move communications, packets, labels, and signage. Conduct pre-installation planning walks and post-installation inspections to ensure quality standards are met. Oversee furniture installation teams, verify work against specifications, and manage punch list items through completion. Conduct pre-move and post-move activities including inventory management, furniture tracking, check-ins/check-outs, and mover supervision. Manage post-move and post-installation help desk operations, update databases, and track punch list items through resolution. Plan and direct file planning and mapping from source to destination locations.
Space Planning & Design Coordination
Collaborate with design teams and space planners to translate furniture requirements into actionable project plans. Review and interpret furniture plans, specifications, and finish schedules. Coordinate furniture selection with existing inventory to maximize asset reuse and minimize costs. Ensure furniture solutions align with client workplace standards, ergonomic requirements, and functional needs. Manage the balance between aesthetic preferences and budget realities while maintaining quality standards.
Client Communication & Relationship Management
Serve as the single point of contact for all move management and furniture project activities. Understand and adapt to client protocols, developing communication strategies appropriate to each client environment. Participate actively in planning meetings with clients, Occupancy Planning teams, and key stakeholders. Project confidence, reinforce trust in team capabilities, and help reduce stress associated with workplace change and furniture modifications. Prepare and present accurate status reports and maintain timely invoice review and payment processes for both relocation and furniture project expenses.
Coordination & Collaboration
Coordinate scheduled move and furniture installation activities with property management, facilities teams, and all parties involved in workspace modifications. Manage work orders and small projects including furniture reconfigurations, space enhancements, and office conversions. Schedule meetings with furniture vendors, installation contractors, and stakeholders to review timelines and requirements. Ensure proper sequencing of construction, furniture installation, technology deployment, and occupancy phases. Assist Senior Relocation Managers on larger, more complex relocation and furniture projects.
Team Leadership & Development
Work independently while anticipating required project tasks and initiating activities for self and team members. Provide constructive feedback to JLL Relocation project teams on deliverables. Lead or contribute to internal activities focused on specialty skill development. Demonstrate enthusiasm and a positive attitude with both clients and colleagues.
Required Qualifications
Experience
Three to four years of facility, project, or construction-related experience in a Corporate Real Estate environment. Background in project management, construction management, architecture, furniture project management, or project strategy planning is highly desirable. Experience managing furniture reconfigurations, installations, and office conversions is preferred.
Technical Skills
Strong proficiency in Microsoft Excel and the complete Microsoft Office suite. Experience with CAD/CAFM technology featuring move management modules and client facilities management systems. Ability to read and interpret architectural drawings, furniture plans, and specifications, and apply furniture and space planning concepts. Knowledge of construction or commercial real estate industry practices. Familiarity with furniture systems, manufacturers, and installation processes. Understanding of ergonomic standards and workplace design principles.
