Job description

As an Administrative Coordinator III, you'll be in charge of running our Risk and Insurance team operations and making sure everyone who contacts our team feels important You'll ensure all requests are handled quickly, and answer and direct incoming calls with friendly efficiency. Not only will you be providing stellar customer service, you'll also keep our office stocked with everything we need to keep things running smoothly. You'll be the go-to person for fun team events and catering! Plus, you'll get to leverage your expertise to assist with onboarding new team members and contribute to continuous improvement initiatives for the broader Administration and Legal functions. On top of it all, you'll model high standards for our tight-knit team of professionals and help everyone provide consistent, proactive, and exceptional administrative support.
As SNC's corporate team, we provide the company and its business areas with strategic direction and business support spanning executive management, finance and accounting, operations, human resources, legal, IT, information security, facilities, marketing, and communications.
Responsibilities:
  • Assist in the management and execution of admin coordinator-related projects.
  • Perform light budget and annual team schedule planning and tracking.
  • Oversee office operations and ensure smooth workflow.
  • Execute sophisticated data entry, filing, and document management tasks.
  • Manage schedules and appointments for Risk and Insurance Director and the team.
  • Assist with basic scheduling and routine administrative tasks.
  • Prepare and edit simple documents, memos, and basic reports.
  • Act as a point of contact between team members and other departments to successfully complete Risk and Insurance admin-related projects.
  • Assist in coordinating efforts within a single department or small team.
  • Assist with organizing small to medium-scale team building and event activities.

Qualifications You Must Have:
  • High school diploma or equivalent.
  • 5+ years of relevant experience in office administration or administrative support.
  • Higher level relevant degree may substitute for experience.
  • Advanced use of Ticketing Systems (e.g. Service Now), and Procurement Systems (e.g. Ivalua).
  • Expert in using Microsoft Office Suite (e.g. Word, Excel, Outlook, Teams, OneNote and SharePoint Online).

Qualifications We Prefer:
  • Associate's degree in Business Administration or related field.
  • Prior experience in the Aerospace and Defense industry.
  • Expert knowledge of Workday or similar HRIS systems.
  • Administrative certifications can be advantageous.
  • Basic knowledge of administrative practices and clerical tasks and exposure to office environments.
  • Professional demeanor and excellent communication skills.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Ability to manage time effectively and work well in a team.
  • Assist in identifying straightforward problems and contribute to developing solutions under guidance.
  • Experience with maintaining a secured facility, or working in a U.S. military or Department of Defense (DOD) environment.
  • Experience with industry standard security and safety protocols.

  • Ability to lift up to 20 lbs.
  • Ability to stand or sit for long periods.
  • High proficiency with computers and office equipment.
  • Manual dexterity for handling office supplies and equipment.
  • Ability to work in an office or hybrid environment.
  • Ability to travel may be required.
