Job description

TITLE: MIS (Management Information System) Clerk - Special Services Administrative Assistant

STARTING WAGE: $19-$26/HR

QUALIFICATIONS:

1. Advanced computer and office equipment skills.

2. Ability to learn different computer information systems quickly.

3. Attention to detail.

4. Experience with Microsoft Office and Excel.

5. Ability to interact and problem-solve with staff and the general public.

6. Ability to carry out the duties of this position with numerous interruptions.

7. Ability to multitask.

8. Must be a self-starter.

9. Strong Customer Service and Telephone Etiquette.

10. Previous experience preferred.

11. High School Diploma or GED.

12. Ability to organize and plan ahead.

13. Maintain Confidentiality of Student Records.

REPORTS TO: Director of Special Services

PERFORMANCE RESPONSIBILITIES:

1. Administrative Assistant to the Director of Special Services and assists SEC Special Services Staff

2. Receptionist for the Special Services Office -- answers phones, directs all calls, and greets visitors.

3. Assists the Director of Special Services to carry out the responsibilities of the Special Services Department.

4. Data Manager to create, organize, and maintain files on each special ed student in USD #345.

5. Data Manager to ensure data accuracy and Special Education compliance for USD #345.

6. Provide support to special education staff within the district as requested.

7. Data Manager on KSDE applications and required reports.

8. Assists special education staff in Individual Education Plan (IEP) compliance and proofing each IEP.

9. Super Administrator for two databases for special education records.

10. Prepares materials and organizes logistics for staff development activities.

11. Audits – pulls files and organizes information for auditors as needed.

12. Completes (or assists with) paperwork for leaves, purchases, mileage and attending conferences for all Special Services office staff.

13. Maintains an accurate inventory of Special Ed Office equipment for the Business Department.

14. Orders all supplies for the Special Services Office. Also maintains records of purchases for all special education personnel and serves as liaison with the Business Office for questions regarding orders from Special Services staff.

15. Maintains records of conference attendance of all special ed personnel.

16. Maintains Special Services website and creates/updates all electronic KSDE special services forms for USD #345; revises forms as regulations change, and disseminates the forms electronically to all Special Services staff.

TERMS OF EMPLOYMENT: 12 months per year

EVALUATION: Performance of this job will be evaluated annually by the Director of Special Services.
