Microsoft AI is seeking a highly experienced and proactive Executive Business Administrator to provide comprehensive support to Engineering leaders across the Platform/Infrastructure team, helping drive operational efficiency, coordination, and strategic execution across key initiatives.
As an Executive Business Administrator, you will effectively manage a high and time-sensitive workload, work independently, and deal with ambiguity. You will have a passion for making managers and organizations great, possess the ability to set priorities, handle multiple time-critical tasks simultaneously, and run the team in a structured way.

Starting January 26, 2026, Microsoft AI (MAI) employees who live within a 50- mile commute of a designated Microsoft office in the U.S. or 25-mile commute of a non-U.S., country-specific location are expected to work from the office at least four days per week. This expectation is subject to local law and may vary by jurisdiction.
Responsibilities
  • Provide complex administrative support for the Engineering Director, including calendar management with attention to detail, accuracy, and timeliness.
  • Manage domestic and international travel scheduling end-to-end, including the proactive anticipation of logistics and itineraries.
  • Process expense reports in a timely manner, as well as interim approve their Directs' expense reports.
  • Manage end-to-end logistics for team meetings and offsites, which include meeting logistics (booking space, catering, etc.), and material preparation.
  • Develop a deep knowledge of the overall business group strategy, as well as company policy, and act as an information resource to the business group.
  • Anticipate and remove administrative roadblocks and make timely decisions across the business group.
  • Budget management, including creating Purchase Orders as necessary
  • Support space management and planning, maintain team aliases, procure goods and services using internal tools, and other administrative projects assigned.
  • Additional Team projects as needed.

Qualifications
Required Qualifications:
  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.

Preferred Qualifications:
  • 3+ years of experience providing Administrative or Business Support for a manager in a fast-paced environment, with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper-level management.
  • 3+ years of experience with project or office management including budget management, calendaring, and understanding of the business to help the decision-making process.
  • 3+ years of experience with Microsoft products including Outlook, PowerPoint, Word, Excel, and Windows.
  • Proven ability to support multiple stakeholders and manage competing priorities
  • Planning and organizational skills, with a positive, growth-oriented attitude
  • Proficiency with Microsoft tools including Outlook, PowerPoint, Word, Excel, and Windows. Team player who brings initiative, reliability, and follow-through

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $31.49 - $51.97 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $42.93 - $59.33 per hour.
