Summary of the Position: The Membership Assistant supports the Membership Department in the areas of member recruitment, engagement, retention, annual membership renewals, and day-to-day membership administration. This position serves as a key point of contact for PMMI members and prospective members while helping maintain accurate membership records and providing administrative support to the Membership Department Staff.
Duties and Responsibilities:
Member Engagement & Recruitment

  • Conduct member outreach to promote PMMI programs, services, activities, and events.

  • Reach out to prospective member companies regarding PMMI membership and assist with membership recruitment efforts.

  • Assist with member engagement and retention initiatives.

  • Respond to questions from prospective and current members and direct inquiries to the appropriate department when necessary.

Membership Administration & Database Management

  • Assist with the daily maintenance, accuracy, and integrity of the membership database.

  • Process company name changes, contact information updates, and member representative replacements.

  • Assist members with PMMI.org member login and account information.

  • Assist with special membership projects, including the Member Census and related updates.

  • Compare and maintain weekly membership numbers and track changes in membership.

  • Help identify and resolve discrepancies or issues within membership records.

Membership Renewals & Member Communications

  • Assist with annual membership dues renewals.

  • Conduct renewal follow-up through email and phone calls.

  • Maintain accurate records of renewal outreach and member responses.

  • Assist with the preparation and distribution of new member welcome packets.

  • Support communications to new and existing members throughout the membership lifecycle.

General Department Support

  • Monitor the membership@pmmi.org email account and respond to or forward inquiries to the appropriate departments.

  • Answer incoming Membership Department phone calls and emails and provide professional assistance to members.

  • Support the coordination and execution of Booth Drop activities, including preparation, organization, distribution, tracking, and related follow-up as needed.

  • Assist Industry Services with projects and other departmental needs as requested.

  • Provide general administrative support to the Membership Department.

  • Perform other duties as assigned.


Qualifications and Education Requirements:

  • Bachelor's degree required.

  • 0–3 years of professional experience; experience in customer service, membership associations, administration, communications, or a related field is a plus.

  • High level of attention to detail, accuracy, and problem-solving skills.

  • Excellent written and verbal communication skills.

  • Ability to communicate professionally and effectively with individuals at all levels of an organization.

  • Strong sense of urgency and ability to meet deadlines.

  • Highly organized with the ability to manage multiple projects and priorities simultaneously.

  • Dedicated work ethic and ability to work effectively as part of a team.

  • Strong customer service and interpersonal skills.

  • Must possess excellent computer skills, including proficiency with Microsoft Office (Word, Excel, and Outlook).

  • Comfortable learning and working with membership databases and other software systems.
