Job description

Onsite Professional Opportunity

This is a Manager-Level Assignment. The client is specifically seeking an experienced professional who has independently managed and executed medical education meetings. You should be comfortable serving as the primary onsite point of contact, proactively managing meeting logistics, working directly with venue staff, ensuring compliance with client requirements, and resolving issues independently as they arise.

Client has provided the following Event Details:

  • Date and Time:
    • 9/15, Tuesday – 5:30 PM to 9:30 PM
  • Venue:
    • Connors Steak & Seafood
      10076 Gulf Center Dr
      Fort Myers, FL 33913

Basic Guidelines as Required by the Client:

Attire

  • Client requests that you wear professional business attire.

Pre-Event Expectations

  • Client requests that you print approximately 5 pages of meeting materials prior to the event. Access to a printer is required. Printing expenses may be billed at $0.15 per page
  • Client requests that you participate in a pre-event conference call, date and time to be determined. You will be paid for this time.

On-Site Expectations

The Meeting Manager will be responsible for the overall execution and success of the program. The client requests that you:

  • Confirm room setup and ensure all audiovisual equipment has been delivered and is functioning properly.
  • Verify guest counts against registration materials and venue guarantees.
  • Set up registration materials, sign-in sheets, signage, and meeting materials as required.
  • Serve as the primary onsite liaison between the client and venue staff.
  • Monitor the meeting to ensure guests receive the appropriate menu selections and that service remains compliant with client requirements.
  • Ensure guests are not overserved and that the program remains on schedule.
  • Assist attendees with the completion of required post-event surveys.
  • Obtain the final banquet check or receipt and reconcile it against the BEO and attendee sign-in sheet.
  • Take photographs of the final bill/receipt and sign-in sheet and submit them to the client at the conclusion of the meeting.
  • The client does not cover the cost of your meals or snacks for dinner meetings. In any event, there should be no eating at registration.

Post-Event Expectations

  • There are not any post meeting responsibilities.
