ABOUT THE ROLE 

The Print/Mail Project Coordinator is responsible for variety of tasks related to the production of printed material. This position requires good communication and organizational skills, as well as some experience in project management and data entry. The Print/Mail Project Coordinator must be a self-motivated team player with strong attention to detail and ability to coordinate multiple projects in a fast-paced environment.

RESPONSIBILITIES 

  • Work closely with multiple production departments to make sure that all stakeholders are informed about updates or changes to jobs in process. These departments include Data Processing, Prepress, Sheetfed Press Room, Digital Press, Bindery, Ink jetting, Mail Prep, Inventory, Accounting, and Sales. 
  • Occasionally estimate templated projects/programs for internal production.  
  • Accurately translate specifications and scheduling into MIS system(s). 
  • Prepare, review, and distribute all project-related documentation, including proof requests, preflight forms, special instruction sheets, inventory records, and shipping requests, to support efficient workflow and seamless coordination across departments. 
  • Perform quality and status checks throughout production process as needed. 
  • Create and manage custom programs for designated accounts, ensuring accurate functionality, ongoing maintenance, and alignment with client specifications. 
  • Maintain confidential or sensitive information. 
  • Maintain customer inventory. 

QUALIFICATIONS 

  • At least one (1) year of experience in sales or project management. 
  • One (1) to two (2) years of experience in print production. 
  • Knowledge of Print Production (sheetfed, web, digital and large format). 
  • Knowledge of standard bindery functions. 
  • May be required to complete and pass Public Trust Security Clearance.

WORK ENVIRONMENT 

This position is predominantly held in a clerical environment and may also work or access the production floor in an industrial warehouse setting.

  • While performing the duties of this job, the employee is frequently exposed to fumes or airborne particles, moving mechanical parts, and vibration. The noise level in the work environment can be loud.
