About the Position:

The Facilities Management Coordinator provides administrative and operational support for maintenance and facilities functions at Goodwin House Baileyโ€™s Crossroads. This role coordinates work orders, preventive maintenance activities, vendor services, inventory management, and regulatory documentation to ensure safe, efficient, and compliant facility operations. The Coordinator serves as a key liaison between residents, staff, contractors, and Facilities Management leadership while supporting multiple departments, including Maintenance, Environmental Services, Life Safety, Grounds, and Corporate Laundry, with a strong focus on customer service, organization, and operational excellence.

The schedule isย M-F 9-5 or 8-4

The pay is $25/hr-$27/hr

Duties:

  • Coordinate and manage maintenance work orders from initiation through completion.
  • Schedule, assign, track, and follow up on maintenance requests and preventive maintenance activities.
  • Support planning and coordination of daily maintenance operations at Goodwin House Bailey's Crossroads (GHBC).
  • Ordering maintenance supplies, tools, equipment, and materials.
  • Maintain inventory records and monitor stock levels to support uninterrupted operations.
  • Support the scheduling of vendors, contractors, inspections, and service providers.
  • Track project schedules, documentation, invoices, and contractor deliverables.
  • Maintain electronic life safety documentation, including inspection reports, testing records, permits, certifications, and compliance records.
  • Support regulatory surveys, audits, and accreditation activities through document management and record retention.
  • Generate reports, spreadsheets, presentations, and operational metrics for Facilities Management leadership.
  • Support emergency preparedness efforts and assist during facility-related incidents as needed.
  • Support multiple Facilities Management departments, including: Maintenance, Environmental Services (ES), Life Safety, Grounds, Corporate Laundry, Additional Facilities Management functions as assigned

Qualifications:

  • Minimum of 2 years of experience in a similar role
  • Strong organizational and project coordination skills.
  • Experience with work order management systems is preferred such as WorxHub.
  • Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and Teams.
  • Ability to manage multiple priorities and deadlines simultaneously while maintaining attention to detail.
  • Strong verbal and written communication skills.
  • Ability to work independently while collaborating effectively with multiple departments.
  • Commitment to customer service and continuous improvement.
  • Experience in working with older adults is preferred.
