Job description

Summary:

The Marketing Associate, Events is a key contributor to the success of the Marketing Team, responsible for managing EpiCypherโ€™s presence at global conferences and scientific meetings, orchestrating company-sponsored events, supporting social channels, and other marketing programs. Reporting to the Associate Director of Marketing, this role is instrumental in the optimization of the marketing budget and the business processes to ensure program efficiency and market success. This role is integral to fostering cross-team collaboration (e.g., Sales, Products, and Applications, R&D) and supporting reliable marketing operations within a dynamic, science-driven business environment, ultimately contributing to operational effectiveness and business growth.


Position Responsibilities:


Conferences Management

  • Build and maintain the annual Conferences calendar in consultation with other teams.

  • Book exhibitor and sponsorship packages; process invoices as necessary.

  • Orchestrate conference speaker logistics, including contract, fees, and content approval process.

  • Manage EpiCypherโ€™s exhibit display design and production, while meeting deadlines and budgets.

  • Orchestrate conference logistics, including scheduling booth & collateral materials shipping, ordering of booth furniture, services, and accessories such as electric, etc.

  • Ensure compliance with venue rules and regulations.

  • Manage communications with conference organizers and vendors; invoice processing and reconciliation.

  • Facilitate communication between conference attendees regarding travel and lodging.

  • Orchestrate regular audits of marketing collateral in conjunction with Sales and Scientific Content Marketing Manager to ensure brand alignment, effectiveness, and up-to-date product information.

  • Identify bottlenecks and implement improvements to workflows and cross-team collaboration.

  • Orchestrate backdrop and swag brainstorming sessions to ensure compelling conference presence.

  • Schedule and facilitate conference planning meetings with key stakeholders as needed.

  • Manage lead intake from conference participants and ensure proper list processing, supporting data accuracy and cleanliness within the Salesforce/MCAE ecosystem.

  • Proactively contribute content to the conferences page on the EpiCypher website and ensure information is accurate and up to date.

  • Assist with content calendar and social posts to highlight EpiCypherโ€™s events and product launches.


Company-Sponsored Events

  • Plan, organize, and execute the biennial international company event (next one planned for November 2027), including venue selection, registration, logistics, promotional items, and marketing campaigns.

  • Orchestrate speaker/vendor logistics, including contract, fees, and content approval process.

  • Perform other marketing tasks as necessary.


Other Marketing Projects

  • Work closely with the Marketing and Sales teams to support alignment of goals and strategies.

  • Provide day-to-day operational support to the Marketing team as needed.


Other Responsibilities:

  • Attend weekly company meetings and prepare and present updates as scheduled.

  • Adhere to safety training and protocols to ensure a secure and healthy work environment.

  • Adhere to the EpiCypher Employee Handbook.

  • Provide support for other Marketing-related duties and projects as needed, contributing to the overall success of the Marketing department.

Credentials and Experience:

  • Bachelorโ€™s degree in marketing, business, or a technical field.

  • Three years of proven marketing experience, preferably within the life sciences or biotechnology industry.

  • Two years of events management experience, preferably in the life sciences or biotechnology industry.


Knowledge and Skills:

  • Strong project & budget management skills.

  • Knowledge of healthcare tradeshow and conference rules, stakeholders, and logistics.

  • Familiarity with Salesforce CRM and lead capture/processing workflows.

  • An eye for graphic design and experience with Canva or other design tools.

  • Ability to communicate effectively across various channels and stakeholders.

  • Ability to manage multiple projects and meet deadlines.

  • Ability to be flexible and work within constantly changing priorities.

  • Ability to work equally well as an individual and as part of a team.

  • Ability to adapt to changing priorities in a fast-paced environment.

  • Comfortable working in a science-driven and technical marketing environment.

  • Detail-oriented with strong organizational skills.


Travel Requirements:

Travel out of the country alone or with a manager for site visits for our biennial conference (1-2 times a year).

Attend the biennial conference with the EpiCypher team.

Physical Demands:

While performing the duties of the Marketing Associate position, the employee must be able to remain in a stationary position for prolonged periods as well as move about inside their office and when necessary, during business travel. The employee must be able to operate a computer and necessary office equipment. The employee must be able to position self to transport objects and boxes weighing up to 30 pounds throughout the workday.
