This role is subject to a flexible hybrid work arrangement requiring a minimum of 1-2 pre-determined days per week in our mid-town office.

SUMMARY

Under the general direction of the Marketing and Creative Services Director, the Marketing Project Manager oversees a variety of organizational projects, with a primary focus on marketing initiatives for CRF educational conferences. While this is a corporate project management function, most of the Marketing Project Managerโ€™s time will be dedicated to conferenceโ€‘related marketing efforts, ensuring seamless execution across multimedia, social media, print, and eโ€‘marketing production.

This role works in close collaboration with the Marketing and Creative Services Director to develop and implement strategic marketing plans for each initiative, ensuring alignment with organizational goals. The Marketing Project Manager is responsible for managing project timelines, coordinating stakeholders, overseeing quality control, and ensuring the successful execution of marketing deliverables.

Additionally, the Marketing Project Manager serves as the primary liaison between internal teams and external vendors, identifying opportunities for process optimization and cost savings while maintaining a standardized project management system for a fastโ€‘paced, highโ€‘volume department.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Project & Workflow Management โ€“ Leads marketing initiatives for CRF conferences, managing timelines, deliverables, and resources. Maintains project schedules, proactively addressing risks, dependencies, and delays.
  • Marketing Strategy & Execution โ€“ Works with the Marketing Director to develop and implement strategic plans, aligning goals, target audiences, messaging, and performance metrics.
  • Stakeholder Coordination & Communication โ€“ Serves as the primary liaison across teams, facilitating content collection, approvals, and project updates with internal departments and external vendors.
  • Marketing Asset Development & Quality Control โ€“ Oversees production of digital and print collateral, ensuring brand consistency, quality standards, and strategic alignment.
  • Budget, Risk & Process Optimization โ€“ Monitors budgets, identifies bottlenecks, and refines workflows to improve efficiency, reduce redundancies, and enhance collaboration.
  • Digital & Eโ€‘Marketing Support โ€“ Assists with eโ€‘marketing campaigns, ensuring content remains current, engaging, and aligned with objectives.
  • Performance Tracking & Continuous Improvement โ€“ Conducts postโ€‘project evaluations, tracks KPIs, and refines strategies based on insights.
  • Meeting Facilitation & Execution โ€“ Leads project kickoffs, status updates, and stakeholder briefings to align teams and drive marketing success.
QUALIFICATIONS
  • Bachelorโ€™s degree in marketing, communications, business, project management, or a related field (or equivalent work experience).
  • Minimum 5+ years of project management experience, preferably in marketing, communications, event planning, or a corporate setting.
  • Experience managing largeโ€‘scale projects, timelines, budgets, and crossโ€‘functional teams in a fastโ€‘paced environment.
  • Experience working on conference or event marketing initiatives is strongly preferred.
  • PMP (Project Management Professional) or other relevant project management certification is a plus.
  • Proven ability to manage multiple projects, set priorities, track milestones, and drive highโ€‘quality execution using standardized PM tools (Asana, Trello, Monday.com, Smartsheet). Strong risk management and problemโ€‘solving skills to keep projects on track.
  • Deep understanding of marketing strategy, branding, content development, and campaign execution. Experience with audience targeting, messaging, performance tracking, and marketing collateral across print, web, social, and email. Familiarity with digital marketing tools (Salesforce, Pardot, HubSpot, Google Analytics).
  • Skilled in Microsoft Office, project management platforms, and CMS (WordPress, Joomla). Working knowledge of Adobe Creative Suite (Photoshop, InDesign, Illustrator) and marketing automation tools.
  • Strong written and verbal communication skills. Ability to interact effectively with senior leadership, crossโ€‘functional teams, vendors, and stakeholders. Experienced in facilitating meetings, presenting project updates, and managing vendor relationships.
  • Strategic thinker with strong leadership, adaptability, and problemโ€‘solving skills. Ability to manage competing priorities in a fastโ€‘paced, highโ€‘volume environment while maintaining attention to detail.

COMPENSATION

The hiring range for this position is $80,000 - $86,000 per year. The annual salary that will ultimately be offered to the successful candidate will depend on jobโ€‘related knowledge, education, skills, and experience.
