The Marketing Operations Assistant provides administrative and production support to the Marketing Operations team, helping ensure the successful execution of cooperative marketing campaigns and departmental initiatives. Reporting to the Director of Marketing Operations, this role is responsible for coordinating campaign workflows, creating and distributing insertion orders, coordinating proofing processes, maintaining tracking documentation, and supporting cross-functional communication. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities while meeting deadlines in a fast-paced environment.


Essential Job Functions

  • Create, distribute, and route marketing campaign Insertion Orders (IOs), ensuring signed documentation is received and filed appropriately.
  • Populate and maintain External Ads placements within internal and external tracking systems.
  • Coordinate the proofing process by distributing campaign materials, including email campaigns, website promotions, and landing pages, to stakeholders for review and approval.
  • Collaborate with Category Managers to obtain featured products and related information for upcoming marketing content.
  • Collect and maintain Proof of Performance documentation for external advertising placements and update tracking records accordingly.
  • Maintain and update the Marketing team's shared calendar, ensuring visibility of key deadlines and campaign schedules.
  • Collect, sort, and distribute incoming company mail.
  • Follow established department processes and workflows while seeking clarification when needed.
  • Build and maintain positive working relationships with internal departments and external vendor partners.
  • Provide administrative and operational support to Marketing Operations team members as needed.
  • Perform additional duties and special projects as assigned.


Requirements:

Required Education, Experience, and Qualifications

  • Associate degree in marketing, communications, business, or a related field, or an equivalent combination of education and experience.
  • Proficiency with Microsoft Office applications, including Excel, Word, and Outlook.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks and meet deadlines in a deadline-driven environment.


Preferred Education, Experience, and Qualifications

  • Bachelor's degree in Marketing, Communications, Business, or a related field.
  • Experience in an administrative support, marketing support, customer service, office operations, retail, or related role.
  • Experience using workflow, project management, or reporting tools such as Smartsheet, QuickBase, or similar platforms.
