The Project Specialist 2 is responsible for managing projects from submittal approval through delivery and closeout. This role ensures timely coordination between contractors, engineers, and manufacturers. The PS2 is a key contact for assigned projects, providing exceptional customer service, logistical efficiency, and ensuring project goals and objectives are accomplished on time and within budget.
Position Responsibilities may include:
• Develop and maintain product knowledge and order entry procedures for all products.
• Provide exceptional customer service by responding to inquiries, resolving issues, and ensuring customer satisfaction.
• Manage new job setup, documentation, and maintain project files.
• Negotiate special pricing multipliers with manufacturers.
• Order equipment from manufacturers and process returns accurately and efficiently.
• Track and communicate project milestones, lead times, and delivery schedules to contractors and internal teams.
• Process change orders, verify pricing and scope adjustments, and update project documentation as required.
• Coordinate shipping/logistics with manufacturers and customers.
• Provide customers with installation, operation, and maintenance manuals.
• Work with manufacturers and clients in processing warranty and freight claims.
• Identify and proactively resolve potential issues related to schedule conflicts, equipment compatibility, or factory delays.
• Support billing, project closeout, and performance tracking.
• Work closely with account executives, engineering, and parts/service teams to support overall project success.
• Participate in team meetings and product training to enhance industry knowledge.

• Applies practical knowledge of job area typically obtained through advanced education and work experience

• Performs a range of mainly straightforward assignments
• Works independently with general supervision
• Problems faced are difficult but not typically complex
Knowledge & Skills:
• Proficient in Microsoft Word, Excel, Outlook, MAPICS, Savion and Infor/Powerlink is required
• Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
• Ability to consistently provide high-quality accurate results. Ability to be flexible and identify answers that are not always readily available
• Basic ability to review Mechanical Schedules and specifications to identify product and basis of design
• Communicate effectively with internal and external customers.
• Must be highly organized specifically track requests sent to the Field with periodic follow up as needed to ensure approval cycle completed in timely manner
• Strong ability to multi-task
• Understands business implications of decisions; Displays orientation to profitability; Demonstrates knowledge of market and competition; Aligns work with strategic goals
• Ability to apply good judgment, strong work ethic, and integrity on the job.
Experience:
• 2 - 4 years related experience and/or training; or equivalent combination of education and experience.
Education/Certification:
• Bachelor's Degree is preferred but not required
