ACCOUNTING ADMINISTRATOR

Department: Finance Reports To: Office Manager / Credit Manager Location: Woodbury, MN

POSITION OVERIVEW

Harvey Vogel Manufacturing Co. is seeking a dependable, organized, and detail-oriented Accounting Administrator to support daily finance and accounts receivable operations.

This role supports daily AR processes, financial reporting, and customer payment communication and resolution. The position also provides backup support for front desk and visitor reception responsibilities as needed.

AREAS OF RESPONSIBILITY

Accounts Receivable & Customer Support

  • Generate customer invoices and review commission-related invoice details
  • Upload invoices to customer portals and manage portal-related documentation
  • Process daily cash receipts, ACH payments, checks, and banking transactions
  • Reconcile payment discrepancies, short pays, and pricing disputes
  • Communicate with customers regarding payment status and collection follow-up
  • Maintain and respond to remittance email communications
  • Create proforma invoices for Cash-In-Advance (CIA) accounts
  • Release ship holds on accounts once payment requirements are satisfied
  • Process standard credits and assist with RMA settlement documentation
  • Support AR reporting, collection reporting, and month-end finance reporting
  • Assist with maintaining accurate financial records and supporting documentation
  • Ensure daily bank deposits are processed accurately and timely
  • Maintain organized documentation and electronic records
  • Assist with special projects and other finance-related tasks as assigned

Backup & Office Support

  • Assist with departmental coverage for:
    • Accounts payable invoice uploading
    • Front desk coverage during lunches and absences
    • Visitor assistance and administrative support functions

QUALIFICATIONS & SKILLS

  • Accounts receivable, B2B collections, or general accounting experience preferred
  • Strong organizational skills and attention to detail
  • Ability to communicate professionally with customers and internal teams
  • Proficiency in Microsoft Excel and Microsoft Office applications
  • Experience with Epicor or accounting software preferred
  • Ability to work independently while contributing positively to a team environment
