Job description

Simply Orthodontics is seeking an experienced Office Manager to oversee the daily operations of our patient-focused orthodontic practice. You'll be joining an experienced team in a well-established practice with strong systems and operational support already in place. This role travels to Worcester, Grafton, and Fitchburg.
This role plays a key leadership position within the practice and works closely with the Orthodontist, clinical team, and leadership to support schedule efficiency, treatment starts, patient experience, and overall practice performance.
Schedule: Monday - Friday 8 am - 5 pm
Responsibilities
  • Oversee day-to-day operations of the orthodontic office to ensure an organized, efficient, and patient-centered environment
  • Lead and support front office, treatment coordination, and administrative team members while fostering a positive, collaborative, and high-performing team culture
  • Manage and optimize the orthodontic schedule to support efficient patient flow, maximize provider productivity, and create a seamless patient experience across consultations, adjustment appointments, emergencies, and retention visits
  • Support new patient consultation flow and treatment start goals by partnering closely with the Treatment Coordinator and Orthodontist to ensure a best-in-class patient experience
  • Oversee insurance verification, billing processes, and patient financial communication to ensure accuracy, transparency, and a positive patient experience
  • Run and review key practice reports to monitor scheduling efficiency, production, collections, treatment starts, case acceptance, and overall office performance
  • Review and confirm employee timecards, hours worked, and PTO to ensure accurate payroll submission
  • Coach and support team performance, helping maintain accountability, consistency, and exceptional customer service standards throughout the office
  • Collaborate closely with the Orthodontist and leadership team to support office goals, patient satisfaction, and overall practice growth
  • Participate in weekly and monthly meetings to review KPIs, discuss operational opportunities, and stay aligned on practice goals
