Long-term, ongoing contract role (12+ months) possibility to be extended 
Location: 100% remote 
Pay Rate: $50 to $60 per hour 
Title: Wrike Implementation Lead 
Looking for someone with strong hands-on Wrike implementation experience who can lead the rollout, help establish governance and reporting standards, and serve as the ongoing product manager for the platform following implementation. Note they have implementation support included as part of Penn's agreement with Wrike, so this individual would not be responsible for the implementation on their own. Would expect them to work closely with the Wrike team and serve as the primary internal partner throughout the process.
Overview
Seeking an experienced Wrike Implementation Lead to oversee the implementation, adoption, and ongoing management of Wrike as our enterprise work management platform.
This individual will serve as the primary day-to-day leader for the Wrike implementation, partnering closely with the Corporate Director of Marketing Operations and Wrike's implementation team. They will work across multiple Marketing & Communications functions to design, build, document, and optimize workflows that support project intake, planning, execution, reporting, resource management, and collaboration.
A key responsibility of this role will be establishing governance, standardization, and data quality practices that enable meaningful portfolio reporting and visibility for department leadership. The successful candidate will balance standardization with team flexibility, ensuring information is entered and managed consistently across the organization.
The ideal candidate has deep hands-on Wrike expertise, experience implementing work management platforms for large marketing and communications organizations, and a strong understanding of project management best practices. They must be comfortable translating business requirements into scalable workflows and serving as a trusted advisor to both leadership and end users.
Following implementation, this individual will transition into the role of internal Wrike product manager, serving as the primary resource for platform governance, enhancements, troubleshooting, training, and continuous improvement.
Key Objectives
Lead the implementation and configuration of Wrike for a large Marketing & Communications organization.
Establish a scalable and sustainable work management framework across multiple teams, including governance standards, consistent naming conventions, workflow structures, and data practices that enable accurate cross-functional and leadership reporting.
Consolidate disparate processes and tools into a unified platform experience.
Develop workflows, governance standards, reporting structures, and documentation that support long-term adoption and success.
Serve as the primary internal subject matter expert and product owner for Wrike.
Responsibilities
Wrike Implementation
Partner with Marketing Operations leadership and Wrike consultants to plan and execute implementation activities.
Lead discovery sessions and workflow workshops with functional teams to understand current processes, pain points, reporting needs, and future-state requirements.
Gather and document business requirements from stakeholders across multiple teams.
Design and build workflows, intake processes, request forms, project templates, automation rules, dashboards, reports, and custom fields.
Translate existing processes from tools such as Asana, Birdview, Airtable, and other systems into Wrike.
Recommend best practices and challenge existing processes when more efficient approaches are available.
Support platform configuration, testing, validation, and deployment activities.
Identify opportunities for process standardization while balancing the unique needs of different functional teams.
Workflow & Process Design
Build and maintain scalable workflow structures that support marketing and communications operations.
Ensure workflows align with project management best practices and organizational goals.
Develop and enforce governance standards for workspace organization, naming conventions, project taxonomy, custom fields, statuses, reporting structures, and permissions to ensure data consistency and reliable enterprise-level reporting.
Create and maintain standardized project, campaign, and work classifications that allow leadership to view portfolio-level reporting, resource utilization, project status, volume metrics, and operational insights across the organization.
Create documentation that clearly outlines workflow designs, business rules, and system configurations.
Design dashboards and reporting views for different audiences, including department leadership, project managers, functional teams, and operational owners.
Establish processes for ongoing change management and continuous improvement.
Partnership with Internal Project Managers
Collaborate with project managers and operational leaders across the department.
Consult on project setup, workflow design, and process optimization.
Help teams determine the most effective way to structure work within Wrike.
Ensure consistency and alignment across teams while accommodating unique functional requirements.
Serve as an escalation point for workflow and process-related questions.
Help document key workflow decisions, governance choices, and tradeoffs to support alignment across teams and ensure future changes are made consistently.
Training, Adoption & Change Management
Develop and deliver role-based training for end users, project managers, and leaders.
Create user guides, documentation, FAQs, and training materials.
Support launch readiness planning, including user acceptance testing, training completion, communications, issue tracking, and go-live support.
Support user onboarding and adoption activities throughout implementation and launch.
Monitor adoption and identify opportunities to improve user engagement and platform utilization.
Provide ongoing coaching and support to stakeholders.
Product Management & Ongoing Administration
Serve as the primary internal Wrike administrator and subject matter expert following go-live.
Establish and manage an intake process for post-launch Wrike enhancement requests, workflow changes, user access needs, and reporting updates.
Manage enhancement requests, workflow updates, and platform configuration changes.
Assess business needs and translate them into platform improvements.
Maintain governance over system setup, data quality, reporting structures, and user permissions.
Partner with Wrike support and account teams as needed.
Own the roadmap for future improvements, enhancements, and new capabilities.
Monitor platform performance and recommend optimization opportunities.
Serve as the steward of data integrity within Wrike, ensuring teams follow established governance standards so that dashboards, executive reporting, and cross-functional metrics remain accurate and actionable.
Required Experience
Significant hands-on experience implementing and administering Wrike.
Experience leading enterprise or large-scale work management platform implementations.
Experience supporting marketing, communications, creative, or agency-style teams.
Strong understanding of project management methodologies, workflow design, and process improvement.
Experience building forms, automations, dashboards, reports, templates, and governance structures within Wrike.
Ability to gather requirements, facilitate workshops, and work effectively with stakeholders at all levels.
Excellent communication, documentation, and training skills.
Must be comfortable operating as both a strategic advisor and hands-on builder within Wrike.
Strong problem-solving and analytical capabilities.
Preferred Qualifications
Experience migrating teams from platforms such as Asana, Birdview, or similar tools.
Experience designing intake management and resource planning processes.
Experience supporting enterprise marketing, communications, creative services, or healthcare organizations.
PMP, Agile, Scrum, or related project management certifications.
