Job description

The Louisville Thoroughbred Society is seeking an experienced and highly organized Hospitality & Events Manager to lead the planning, coordination, and execution of member events, hospitality experiences, and special gatherings that celebrate Louisville’s thoroughbred heritage.

This role is responsible for delivering exceptional experiences for members, guests, sponsors, and partners through thoughtful event planning, outstanding service standards, and seamless operational execution.

The ideal candidate combines event production expertise, hospitality leadership, and strong relationship management skills with a passion for Kentucky’s thoroughbred industry and culture.


Duties & Responsibilities

Event Planning & Execution

  • Plan, coordinate, and execute all Louisville Thoroughbred Society events including member gatherings, race-day experiences, specialty dinners, networking events, and private functions.
  • Provide quarterly strategies for all events and membership engagement, specifically owning and executing all LTS Derby events.
  • Develop event timelines, budgets, financial tracking, and operational plans for each major event while ensuring cost effectiveness.
  • Coordinate event sponsors, logistics, vendor management, and on-site event execution.
  • Identify key vendors and negotiate contracts and ensure vendors deliver high-quality service to include but not limited to floral, entertainment, and decorations.
  • Ensure all events reflect the prestige and traditions of the Club.
  • Manage event registrations, tracking attendance, and post-event reporting.

Marketing & Member Engagement

  • Collaborate with leadership on event promotion and member communications.
  • Assist with event marketing materials, invitations, and digital promotions.
  • Help create new events that increase member engagement and community presence.

Qualifications

Education and Experience

  • Bachelor’s degree in Hospitality Management, Event Management, Marketing, or related field preferred.
  • 3–5+ years of event planning or hospitality management experience.
  • Experience managing upscale events, VIP experiences, or member organizations preferred.
  • Experience managing vendors, budgets, and event logistics.
