Job description

Job Summary

We are seeking a dedicated and experienced Healthcare Operations Manager to oversee the daily operations of our mobile home healthcare services taking place in the Waco, TX market. The Healthcare Operations Manager will ensure the delivery of high-quality care, manage staff, optimize operational processes, and support the growth and development of our services through managing referral and vendor relationships. The ideal candidate will have a strong background in healthcare operations, excellent leadership skills, a passion for patient care, and the ability to thrive in a fast-paced entrepreneurial environment.

Key Responsibilities:

Operational Management

Oversee daily operations of home-based primary care services, including scheduling of patient visits and new patient intake.

Build and maintain relationships with key stakeholders, referral sources, and community partners.

Ensure compliance with all federal, state, and local regulations.

Develop and implement operational policies and procedures to improve efficiency and quality of care.

Monitor and manage budgets, financial performance, and resource allocation.

Conduct regular audits and quality assurance checks to maintain high standards of care.

Oversee the on-call schedule, coordinating rotations across clinical and medical staff to ensure 24/7 coverage, continuity of care, and clear escalation protocols.

Collaborate with credentialing and licensure functions to ensure maintenance of collaborative practice agreements and quality oversight.

Oversee the residency program in partnership with academic affiliates, managing rotation schedules, preceptor assignments, accreditation compliance, and resident onboarding.

Staff Management

Recruit (partnering with Talent Acquisition), train, and supervise a team of healthcare professionals.

Develop and implement staff schedules to ensure adequate coverage and optimal patient care.

Conduct performance evaluations and provide ongoing training and development opportunities.

Foster a positive and collaborative work environment, promoting teamwork and professional growth.

Patient Care

Ensure patient care plans are developed and executed in accordance with best practices and patient needs.

Work collaboratively with Care Coordination function to ensure clinical needs are met.

Address patient and family concerns promptly and effectively.

Collaborate with healthcare providers, physicians, and other stakeholders to coordinate care and services.

Monitor patient outcomes and satisfaction, making necessary adjustments to care plans and services.

Compliance & Quality Assurance

Ensure all operations are in compliance with healthcare regulations and standards.

Maintain accurate and up-to-date records and documentation.

Implement and monitor quality assurance programs to enhance service delivery.

Stay informed of industry trends, best practices, and regulatory changes.

Planning & Development

Support the development and implementation of strategic plans to grow and expand home healthcare and hospice services.

Identify opportunities for improvement and innovation in service delivery.

Collaborate with senior management to set goals and objectives for the organization.

Qualifications:

Bachelor's degree preferred in healthcare administration, business administration, or a related field.

Over three years of experience in healthcare operations management, preferably in home healthcare or hospice services.

Demonstrated practice management experience, including clinical workflow oversight, billing, and utilization management.

Experience managing on-call schedules and ensuring 24/7 clinical coverage.

Strong knowledge of healthcare regulations, compliance, and quality assurance standards.

Excellent leadership, communication, and interpersonal skills.

Proven ability to manage budgets, financial performance, and operational efficiency.

Strong problem-solving skills and the ability to make decisions in a fast-paced environment.

Commitment to delivering high-quality patient care and exceptional customer service.
