Job description

A Day in the Life of an Office Manager:
From coordinating with the field team to supporting customers, your work keeps everything connected. You'll handle data entry, service audits, payments, and deposits in our CRM (PestPac), while also stepping in to adjust schedules, manage vendor relationships, and assist with accounts payable. Your sharp eye for detail and strong teamwork will help power a successful team, happy customers, and a well-run branch.
Essential Functions:
  • Abide by company safety policies and regulatory requirements, including the proper recordkeeping of product use, sales, and services
  • Support the outside sales team by initiating sales and services sold in the CRM
  • Assist the Branch Manager in reconciling payroll and commission discrepancies
  • Ensure regulatory recordkeeping
  • Responsible for customer monthly billing statements
  • Manage customer payment batches through our CRM (PestPac)
  • Ensure proper inventory of office supplies
  • Manage vendor relationships such as third party pay houses
  • Distribute office supplies to the field team and office
  • Support Branch Manager and Service Manager in (re)scheduling services
  • Assist in outbound collections calls for commercial accounts
  • Ensure proper branch level business and industry licensing
  • Administer payment checks and bank deposits
  • Assist Branch Manager and Finance with accounts payable
  • Assist Branch Manager in reconciling CRM (PestPac) data for payroll and commissions
  • Conduct new service setup reviews on a weekly basis
  • Collect on unpaid initial and one-time services
  • Manage declined credit card lists and reach out to customers for new information.
  • Responsible for sending out renewal letters
  • Attend required training and meetings as prescribed
  • Perform other duties as required
Requirements:
  • Must be computer literate
  • Must be able to speak and read fluent English
  • Must be able to type a minimum of 40 words per minute
  • Obtain and maintain state registration/licensing for pest control as required
