SUMMARY

Verdugo Strategies is a progressive campaign consulting organization whose mission is to collaborate with our clients to empower people who are working to create a better world through civic engagement, community mobilization, and strategic advocacy. Our past work has included presidential campaigns, key US Senate and Gubernatorial elections, and important issue-based advocacy efforts to create positive, progressive change.

The HR Assistant provides crucial administrative, logistical, and data entry support to the HR Director during a high-volume election cycle ending December 31, 2026. This temporary role assists with day-to-day employee lifecycle tasks, HRIS updates, onboarding coordination, and recordkeeping across multiple entity programs for temporary full-time field organizers, part-time canvassers, and support staff.


REPORTING & ROLE PURPOSE

Reporting directly to the HR Director, the HR Assistant serves as administrative support for the Operations Department. This role ensures backend HR processes run smoothly, employee files remain compliant, and candidate and employee inquiries are routed efficiently


ESSENTIAL DUTIES AND RESPONSIBILITIES

? HRIS & Employee File Management: Maintain, audit, and update confidential personnel files in Paylocity and electronic archives. Assist with uploading documents, tracking completion of required forms, and maintaining accurate employee records across all client entities.

? Onboarding & Lifecycle Logistics: Coordinate administrative tasks for hiring, onboarding, and offboarding. Assist with preparing offer letters, set up new hires in Paylocity, track completion of I-9 forms and tax documents, and distribute initial onboarding materials.

? Payroll & Benefits Support: Assist the HR Director and other Operations Department Staff with pre-payroll administrative tasks, including auditing timesheets, tracking missing employee information, and organizing payroll documentation to meet tight deadlines. Provide basic assistance to employees regarding Paylocity portal access and standard benefits inquiries.

? Compliance & Training Tracking: Monitor completion rates for mandatory employee trainings and compliance policies across field and support staff. Send reminders to staff and escalate overdue compliance items to the HR Director.

? Administrative & Adaptive Support: Answer routine HR inquiries, manage incoming operations communications, assist with scheduling, and support special projects as requested by the HR Director or Operations leadership.


SUCCESS CRITERIA

· Data Integrity & Accuracy: Maintains a near-zero error rate in Paylocity data entry, filing systems, and timesheet audits. Demonstrates proactive follow-up to resolve data discrepancies quickly.

· Resolution & Turnaround Speed: Responds to standard administrative or employee inquiries within 24 hours. Ensures 100% of onboarding documentation is collected prior to an employee’s start date.

· High Integrity & Discretion: Acts with strict confidentiality, honesty, and professional ethics when handling sensitive personnel data and wage information.

· Solutions-Oriented Initiative: Demonstrates ability to manage tight deadlines independently, flags administrative gaps to the HR Director early, and proposes straightforward solutions.


QUALIFICATIONS

Required Knowledge, Skills, Abilities, and Qualifications

· Demonstrated commitment to progressive causes and enthusiasm for working in a fast-paced environment.

· Strong interest in creating and maintaining a positive work environment and resolving interpersonal matters.

· High proficiency with Google Workspace (Docs, Sheets, Drive), Microsoft Office, and web-based tools.

· Exceptional organizational skills and high attention to detail when managing records and numbers.

· Proven ability to handle confidential information with utmost discretion and professional ethics.


Preferred Experience

? At least 1 year of administrative, operational, or HR support experience (internships and campaign operations experience qualify).

? Prior experience using Paylocity or a similar HRIS platform.

? Previous experience working within progressive political campaigns, non-profits, or community organizations.


Mandatory Requirements

? Communication Tools: Must have easy access to a reliable laptop, smartphone, and a stable internet connection for regular professional communication and performing duties.


WORK ENVIRONMENT

This role operates in a remote workspace, with possible travel to on-site dynamic field office environments and in various community settings. It requires the ability to work long hours and/or weekends, especially during peak campaign phases.

PHYSICAL REQUIREMENTS

The employee must be able to sit for periods of data entry and stand for extended periods during remote trainings and/or performing the duties of this position. While performing the duties of this job, the employee is regularly required to use a computer and/or smartphone and participate in frequent voice or video calls.
