This is an on-site position in Seaford, DE. This role will require occasional travel to our Sudlersville, MD, location.

Job Summary
The Payroll Coordinator is responsible for the accurate, timely, and compliant execution of payroll across all payroll cycles. This role is the primary payroll executor, ensuring employees are paid correctly every cycle while following documented procedures, controls, and escalation paths during a period of system change and long‑term stabilization.
Responsibilities and Duties
Payroll Execution
  • Execute weekly and bi-weekly payroll according to approved calendars
  • Process payroll runs using approved payroll systems
  • Validate payroll inputs, including hours worked, pay rates, PTO, and job costing
  • Review payroll outputs, identify and address discrepancies
  • Support off-cycle payroll processing if required and approved
  • Maintain required payroll records and reports
  • Support audits and internal reviews as needed
  • Escalate issues that affect payroll timing, data integrity, and accuracy
Employee Outreach, Timekeeping Support, and Training
  • Serve as the primary point of contact for questions related to time entry, adjustments, and approvals
  • Provide ongoing guidance and reminders to support accuracy and timely submission
  • Coordinate with the Payroll Systems Specialist to flag systemic issues and suggest improvements
  • Support the onboarding of new employees and managers by managing orientation
  • Manage distribution of printed training materials and media
Qualifications and Education Requirements
  • 5+ years of payroll processing experience, in-house or outsourced
  • Construction or cost, payroll, and time tracking proficiency
  • Command of all aspects of payroll compliance, including taxes, benefit tracking, and reporting
Skills and Abilities
  • Proven ability to manage multiple priorities and deadlines in a fast-paced corporate environment
  • Strong ability to process payroll accurately and consistently under tight deadlines
  • High attention to detail with commitment to confidentiality and discretion
  • Ability to explain timekeeping requirements clearly and repeatedly
  • Excellent written and verbal communication
  • Ability to support a wide range of user populations with different technical proficiencies
  • Willingness to escalate issues early and recognize risk vs routine
Physical Requirements
  • Must be able to work in an indoor office environment and an active outdoor construction environment
  • Must be able to ascend and descend ladders and stairs
  • Must be able to work in confined spaces and in proximity to loud equipment
  • Must be able to traverse irregular and steep terrain
  • Must be able to work in various weather conditions and be exposed to dirt or dust
  • Must be able to wear the required personal protective equipment most of the day
  • Must be able to lift and carry 25lbs regularly and 50lbs occasionally
  • Must be able to work for long periods of time in front of a computer or while standing
