Job description

Position Summary

The Contract Administrator I is responsible for managing the full lifecycle of government and commercial contracts in compliance with federal regulations and company policies. Under general supervision, this role ensures contractual obligations are met, risks are mitigated, and business objectives are achieved. The Contract Administrator must possess strong coordinating and organization skills and the ability to prioritize ever changing customer requirements.

Responsibilities

Contract Management

  • Administer contracts from proposal through closeout, including modifications, renewals, and terminations
  • Review, customer contract terms and conditions, FAR, DFARs, ITAR and export control requirements for compliance; escalating terms requiring corporate and legal review as needed
  • Monitor contract performance, deliverables, and milestones to ensure timely execution

Pre-Award Support

  • Support proposal development, including review of solicitation requirements (RFPs, RFQs, RFIs)
  • Assist in pricing strategy and contract risk assessment
  • Identify terms that may pose financial, legal, or operational risks
  • Maintain accurate proposal records, documentation, and correspondence

Post-Award Administration

  • Act as primary point of contact for contractual matters with customers and internal stakeholders
  • Maintain accurate contract records, documentation, and correspondence
  • Manage contract changes, modifications, and claims
  • Manage product returns, repairs and warranty claims
  • Ensure proper documentation for audits and compliance reviews

Compliance & Risk Management

  • Ensure adherence to all applicable terms and regulations (Statement of Work, PO specific requirements, customer Ts and Cs, FAR, DFARS, ITAR, EAR, etc.)
  • Evaluate risks and propose mitigation strategies
  • Support internal and external audits
  • Ensure proper flow-down of contract requirements to subcontractors through provision of Contract Brief

Financial & Business Support

  • Track contract funding, billing, and invoicing requirements

Minimum Qualifications

  • High School Diploma or GED equivalent and relevant work experience
  • Excellent written and oral communication skills
  • Strong organizational and prioritization skills
  • Proficient in Microsoft Office Suite
  • Effective management of multiple fluctuating priorities and varying deadlines
  • Team player who can also work independently
  • Thrives in high pressure environment

Preferred Qualifications

  • Bachelor’s Degree (Business preferred) OR
  • Associate’s Degree and 2 years of experience in sales or customer service
  • Previous Contract Administration/Customer Service Experience
  • Knowledge of FAR, DFAR, CUI and ITAR

  • The ideal candidate will function with a sense of urgency, managing tasks effectively, despite sudden deadlines and changing priorities
