General Summary:
The IT Asset Management Administrator is responsible for the day-to-day administrative-level duties within the IT procurement and inventory management areas of the IT business line. Responds to customer requests and customer inquiries regarding both IT hardware and software. The IT Asset Management Analyst will record and track customer requests via the IT ticketing and request management system, shared Asset Management inbox, and Monday.com. Works with new and established vendors to determine standards, requests quotes for standard and non-standard items, and enters requisitions into the Bayhealth purchasing system. Responsible for adjusting inventory and non-inventoried standards and working with resource management to modify these items and their levels. Creates and maintains detailed records regarding warehouse inventory, project manifests, and standardized hardware/software items.
The IT Asset Management Administrator will work closely with the IT Asset Program Manager and is responsible for any of the Program Manager's time-sensitive tasks as a backup. This is a highly collaborative role, requiring a close working relationship with IT leadership, IT support services teams, Materials Management, Finance, and helps manage vendor relationships.
Responsibilities:
1. Responds to and addresses customer inquiries for purchases (hardware, software, and professional services). Understand and assess customers' needs based on the requirements presented. Make recommendations as to which hardware/software best fills the need and aligns with the IT Strategic Plan to support a core vendor approach. Work with Bayhealth's established vendors to get competitive pricing quotes. Work with Materials Management to establish new vendors in the Bayhealth purchasing system. Responds to inquiries related to licensing and software purchasing.
2. Responsible for developing and maintaining the IT department's hardware/software standards and inventory. Responsible for creating, removing, and editing all standards built into the Bayhealth purchasing system for both hardware and software items. Ensure compliance with Bayhealth regulations when assessing potential standard changes for hardware components. Work closely with Materials Management to establish and maintain inventory PAR levels at all locations required to house IT inventory. Coordinate equipment return merchandise authorizations (RMA) for replacement/repair as necessary. Assigns Adobe licensing to new and existing users when necessary.
3. Responsible for performing the tasks associated with IT asset disposal. Ensures all IT hardware is disposed of correctly and documented. Remove and shred hard drives and/or flash memory to ensure confidential data and/or PHI is destroyed prior to the device leaving Bayhealth / IT possession. Coordinates with the Materials Management and the computer recycling company, to ensure assets are disposed of properly and in a timely manner. Coordinates and attends an employee recycling event twice yearly. Ensuring that the hard drives are removed and shredded.
4. Responsible for the ordering and coordination of IT equipment moves for both project and non-project items. Develops and maintains the project manifests for any upcoming go-lives. Coordinates the delivery of and storage of project inventory with the Technical Facilities Analyst and Materials Management.
5. Assist the IT Asset Program Manager with managing the IT annual budget. Track and record planned and unplanned spend. Help in providing and presenting budgetary reports to IT leadership. Assist in the planning and budgeting of annual maintenance and license renewals. Project for the next 3 - 5 years out for planning for both capital purchase and operational expenses.
6. Manage day-to-day IT purchasing process. Manage the process of requesting vendor quotes for purchase requisitions. Ensure Purchase Requisitions are accurate and processed / entered in a timely manner. Approve purchased software installation requests.
7. All other duties as assigned within the scope and range of job responsibilities.
Required Education, Credential(s) and Experience:
  • Education: High School Diploma or GED

  • Credential(s): Certified Asset Management Professional
    Certified Hardware Asset Mgmt Prof - Within 12M
    ;
  • Experience:
    Required: Five (5) years' experience in an IT support role or prior experience in an asset management or lifecycle management role.
    Preferred: Seven (7) years' experience in an IT support role or prior experience in an asset management or lifecycle management role.

  • Education: Bachelor Degree
    Computer Science
    Or Bachelor's Degree in Accounting or Finance.
