Job description

POSITION SUMMARY:
The Mail Services Specialist is responsible for the accurate, efficient, and timely handling of incoming and outgoing mail and parcels within a corporate, campus, or retail setting. This role ensures that all items are processed in accordance with company policies and industry standards, while providing excellent service to internal and external clients. The position will also provide a variety of support services associated with equipment, supplies and fulfillment based on customer account requirements. This role may have interaction with customers and must deliver a positive customer experience to all customers, utilizing consultative skills to anticipate customer needs, suggest alternatives and provide solutions. The Mail Services Specialist works with minimal instruction and supervision and interacts daily with customers, managers, team members and vendors accomplishing established business objectives.

GENERAL DUTIES AND RESPONSIBILITIES:

  • Primary responsibility for coordination of all mail and shipping related services and activities

  • Pick-up and deliver customer packages and mail throughout the onsite

  • Maneuver packages with appropriate equipment and/or assistance from another person

  • Assemble packages and prepare goods for shipping by wrapping items in insulation, inserting items into shipping containers, weighing packages and affixing labels to parcels

  • Operate and maintain an automatic mail processing machine (mail meter) for outbound mail

  • Provide customer service by determining appropriate shipping methods, informing customers of company products, services, routes, and rates

  • Sort and prepare packages and mail for pickup or delivery to the designated mail stops

  • Utilize a tracking system to properly log the receipt and release of packages

  • Utilize pallet jacks and other large package handling equipment

  • Employ investigative research for packages and mail with unknown recipients

  • Operate duplicating equipment (copiers, scanners) and perform routine equipment checks, if applicable

  • Address basic issues like paper jams or toner replacement; escalate technical issues to technicians when needed, if applicable

  • Maintain convenience copier areas by keeping them clean and well-stocked, if applicable

  • Handle various fulfillment tasks, such as furniture or conference room setup

  • Deliver completed print/copy/mail items to team members at designated locations

  • Respond to internal customer inquiries regarding status or feasibility of service requests

  • Perform light filing, archiving, and housekeeping duties

  • Perform additional courier or administrative tasks as assigned

  • All other duties as needed or required


MINIMUM QUALIFICATIONS AND REQUIREMENTS:

  • High School Diploma or equivalent education required
  • 1+ year of customer service or operations experience
  • 1+ year of specialized experience preferred
  • Familiarity with USPS and commercial carrier processes (UPS, FedEx, DHL) preferred
  • Experience with mailroom equipment (e.g., postage meters, envelope openers, barcode scanners) preferred
  • Excellent verbal and written skills
  • Proficiency with computer systems and ability to learn new software applications quickly
  • For new hires, must meet all FedEx Office employment qualifications in force at time of hiring
  • For current FedEx Office team members, must meet hiring criteria for the position and transfer requirements as outlined in the Team Member Handbook
