Job description

MalaceHR is seeking a reliable and detail-oriented Mail Courier who combines courier services, record keeping, and customer service. This role is responsible for the secure pickup, transport, tracking, and delivery of mail, packages, and confidential materials. The Mail Courier will train across multiple office operations and support core operational duties, cross-functional projects, and special events as needed.

This position requires strong organizational skills, a sense of urgency, and the ability to balance both routine deliveries and ad-hoc support tasks. The ideal candidate is proactive, dependable, and willing to roll up their sleeves to ensure smooth daily operations.

Key Responsibilities
  • Load and unload cargo safely and efficiently

  • Pick up and deliver important and confidential packages between offices and individual employee locations within a designated radius

  • Maintain chain of custody for all deliveries to and from post offices, company offices, and employee locations (including homes)

  • Utilize specialized scanners and delivery tracking software (e.g., OnFleet) for scanning, sorting, route optimization, and delivery confirmation

  • Perform accurate data entry to log, track, and reconcile mail and package deliveries

  • Complete tracking logs for accountable mail picked up from the post office

  • Retain and distribute postal service receipts (Certified, Signature Required, Insured, and Delivery Confirmation) to senders on the next business day

  • Assist the mailroom with basic shipping and receiving functions between courier routes

  • Replenish postage meters as needed and manage P.O. Box pick-up and drop-off locations

  • Distribute inter-office mail, envelopes, and packages

  • Maintain and update campus mail route maps with delivery stops, routes, and delivery times

  • Maintain postal and mailroom equipment, including postage machines, meter scales, and material handling equipment

  • Assist with moving and setting up materials, equipment, and furniture as required

  • Adhere to assigned routes, schedules, transportation laws, and safety regulations

  • Report safety incidents or occurrences promptly

  • Maintain accurate transportation, mileage, and fuel consumption logs

  • Support cross-functional projects, events, and operational initiatives as assigned
