Job description

Mailroom Associate

This position is responsible for the general sorting and distribution of all mail and packages at the Eagan Blue Cross campus. Ensures all mail metering machines and shipping software is updated when required and maintains accurate price information. Processes all outgoing mail and packages that come through the mailroom. Researches and determines the most cost-effective mail shipping methods. Assists in establishing consistent processes and procedures for the mailroom. Assists customers with shipping and mailing requests and in resolving mail related issues. The hours for this role are 6:00 am - 3:30 pm. This position is fully onsite at our offices in Eagan.

Sort and distribute all mail and packages at the Eagan campus. Accurately processes all packages requiring special delivery, including international shipments. Utilizes the most cost effective and efficient shipping provider. Trouble shoots and resolves package delivery errors and works with vendor and/or customer to correct problems.

Accurately and efficiently sorts and distributes all mail and packages meeting established daily mail drop timelines.

Accurately processes all outgoing mail and packages, scans all incoming packages into the Arrival tracking system and delivers to departments accordingly.

Able to keep accurate records as required. Works directly with departments to assist with shipping requests, creates shipping labels when required and ensures packages are shipped efficiently and accurately.

Meters mail according to the presort mailing process.

Assists in establishing and following consistent processes and procedures for all mail room activities.

Able to perform multiple activities accurately in accordance with priorities established by management and performs other duties as assigned.

Supports ISC tasks when time is available: return mail, member ID lookups, claim data entry, typing labels and stuffing letters.

Special projects as requested.

Performs additional responsibilities consistent with the scope and level of the role, as assigned.

Required Skills & Experience:

1+ years of related work experience

High school diploma (or equivalent)

Must be able to: Bend and stoop. Perform motions of the wrists, hands, and/or fingers (i.e. typing, grasping, or gripping) at a computer station in an office environment. Occasionally lift and transfer up to 40 lbs. Frequent pushing and pulling of freight up to 500 lbs. on a dolly or cart, without mechanical aid. Reach and lift (up to 5 lbs) above shoulder.

Repetitive motion required.

Safely walk and stand for extended periods of time.

Preferred Skills & Experience:

Ability to communicate clearly with varied internal contacts, actively listen to clarify needs, and ensure accurate and timely information exchange.

Ability to recognize patterns in recurring issues, gather relevant information, and collaborate with others to implement practical solutions.

Ability to organize and prioritize tasks across assignments, manage time effectively, and adjust to shifting workloads while maintaining accuracy.

Customer service and support experience.

Experience working with shipping vendors to establish service and resolve issues.
