Globaltech, Inc. is a design-build company of engineers and contractors that serves primarily municipal water and wastewater utilities. We are currently seeking dynamic, team-oriented individual to play key roles in our growing South Florida firm. Globaltech, Inc. is seeking a motivated Administrative Assistant/Receptionist to join a multidiscipline group of dedicated design-build professionals to round out our engineering service capabilities in the municipal water and wastewater facilities market.


Responsibilities 


  • Front desk reception duties, including greeting guests, answering phones, and processing incoming and outgoing mail.
  • Assist with project documentation and administrative tasks.
  • Manage vendor management, including maintaining vendor records and documentation such as W-9s, Certificates of Insurance, vendor forms, and related compliance information.
  • Place lunch orders for office meetings and events.
  • Order and maintain inventory of office supplies and equipment in a cost-effective manner.
  • Manage Globaltech license renewals for the office and company vehicles.
  • Manage company vehicle maintenance, check-in/check-out, and related administrative tracking.
  • Assist with Accounts Receivable (A/R) invoice preparation.
  • Match checks to Accounts Payable (A/P) bills, process and mail payments, and obtain and track progress and final payment releases, including lien waivers and SBE Payment Certificates.
  • Assist with building management, office administration, and general administrative support as needed.
  • Other duties as assigned


Requirements

  • Minimum High School Diploma (associate's degree preferred)
  • Positive attitude, friendly demeanor
  • Proven experience working on a team
  • Proficient in Microsoft Office (Excel, Word, Outlook)
  • Experience with Adobe Acrobat (PDF) a plus
  • Professional verbal and written communication skills
  • Ability to work Monday through Friday from our Boca Raton office (8:00 AM -5:00 PM)
  • Ability to pass a background check
  • Possess a valid Florida Driver License and able to pass a motor vehicle record search
  • Ability to pass a pre-hire drug test
