This position will provide financial and administrative functions for all units in the department of University Recreation. These include, but are not limited to the areas of revenue collection and allocation, payroll, accounts payables/travel, procurement, accounts receivables and cash handling. This position requires independent action based on knowledge of Workday, Microsoft Excel, and campus/departmental policy. This position reports to the Assistant Director of Finance and Administration.

RESPONSIBILITIES:

60% Administrative Support: Collects all LaCarte receipts and begins the expense report process for approximately 30 professional staff. Responsible for initiating and maintaining purchasing and expense approvals, to include Accounting Services forms and spend authorizations, as well as Procurement, Information Technology, and Facility Services approvals. Reviewing up-coming schedule of events to ensure proper compliance with LSU Policies and Procedures prior to event. Performs office management duties including ordering supplies, to include name tags and business cards; Organize and maintain office supplies. Responsible for package and mail receiving for the department, ensures mail and packages are delivered to recipients; Updates and maintains the staff directory; Assists in the maintenance of the electronic file of departmental Operating Procedures; Maintains the Business Office user drive, including proper archiving and organization of digital files. Serve as the a search administrator on candidate searches to enhance the candidate experience as well as ensuring the proper HR protocols are being followed. Provide feedback regarding programs and experiences by utilizing UREC. Oversees student employees who provide front desk coverage for the administrative suite, ensuring visitors are welcomed professionally and directed appropriately. Contributes to the work environment by developing and maintaining positive relationships that support a culture of teamwork and cooperation.

30% Quality Control: Responsible for the creation of the cash report entry to allocate revenue of up to $1 million annually. Assists in the processing, recording, and maintaining of accounting controls over transactions in accounts payable, travel, accounts receivable, payroll, cash handling and procurement for the department in accordance with university and state regulations, policies, and procedures.

10% Other Duties as Assigned: Other duties as assigned by UREC leadership or Assistant Director of Finance and Administration. This includes but is not limited to efforts that support broad division/institution efforts including at least 40 hours per year spent helping divisional initiatives such as Move-In Day, Welcome Week, Family Weekend, Career Expo, Disability Services Finals Testing, other special projects, etc.

MINIMUM QUALIFICATIONS:

Bachelor's degree with related experience.
